ProAudits user manual

How to sign in, run audits on the website and in the mobile app, deal with the issues they find, follow the results, and set up checklists and your team. The manual is split into parts: Getting started covers signing in, company sign-up and invitations, the interface and your account. Audits covers checklists, running an audit on the website and on a phone, the outbox, and what happens after an audit is finished. Results covers the action plan, tasks, the calendar, notifications and the dashboard. Editor covers processes, checklists, the items library and imports. Administration covers employees, structure, roles, your plan, its limits and billing. For every screen you will find what it is, how it works, who can use it, and what to do when something goes wrong.

The big picture in five minutes: what ProAudits is, how its sections fit together, who can do what, and how the website differs from the mobile app.

ProAudits is a cloud service for audits and checklists. It gives you inspection templates (the interface calls them checklists), checklists filled in with photos, an action plan for the issues an audit finds, tasks, a dashboard and notifications. It runs in the browser and in the iOS and Android apps, and the website and the apps share the same data.

This manual is for everyone who works in the system: restaurant and store staff and managers who run audits and complete tasks, managers who follow the results, and administrators who set up checklists, the structure and the team.

Work in ProAudits follows a chain. First an administrator describes the company: its units, employees and their roles. Next, checklists are built in the editor. A checklist lists the items an audit checks. People then run audits from those checklists on the website or on a phone. Problems found in an audit become issues and go to the action plan, where they are fixed and approved. The results come together on the dashboard.

How the work flows. On the left is what you set up once (the Administration and Editor parts). On the right is the day-to-day work (the Audits and Results parts). The chapter numbers show where to read more.
  • Structure and roles. On the website this is the Structure menu item with Employees, Structure and Roles under it. New employees get an invitation. See the Employees, Structure and Roles chapters.
  • Checklists. Checklists are built in the Editor and grouped into processes. There are three types: One-page checklist, Detailed audit and Certification. Items can come from the Items library, or you can import a whole checklist. See chapter 16 onwards.
  • Audits. On the website an audit starts from the Checklists page; in the app, from the processes tab. The mobile app works offline: anything not yet saved on the server waits in the Outbox. See the Checklists and Running an audit chapters.
  • Action plan and tasks. Problems found in an audit are called Issues. Action plan cards move through the columns In progress → Done → Approved. See the Action plan and Tasks chapters.
  • Dashboard. The Dashboard brings the results together. To download them, use Export to Excel or Export to PDF. See chapter 15.

Every employee has a role. A role is a job name your company chooses, such as "Store Manager" or "Head chef". Every role has one of seven levels. The levels are the same in every company and never change, and the level is what decides which sections are open to you. You can see your role and level on the Account page. Roles are set up by an administrator. See the Roles chapter.

EmployeeNoneHas the same menu as the shift manager.
Read onlyNoneSees every checklist. On the website they can't open them (the rows are greyed out), can't add or change calendar events, and tasks don't open. The mobile app has no such restrictions.

Two more things affect access. Which checklists you see: administrators and the Read only level see every checklist. Everyone else sees only the checklists assigned to their role and their unit. Which part of the structure you see: an employee attached to a unit sees only their own branch.

The plan and AI credits are paid for by account holders: administrators the company trusts with payments. It is a mark on the account, not a separate level; see chapter 24.

Unavailable items aren't hidden

Menu items and buttons your level can't use stay in place but are greyed out and can't be clicked. Screens look the same for everyone, which makes the manual easy to follow. If you need one of the greyed-out items, ask your administrator to change your role.

The core work is available both on the website and in the app: audits, the action plan, tasks, the calendar and the dashboard. A few things are available in only one of them:

The chapters follow the order of the work. They start with signing in and a tour of the interface, then cover audits, their results, setting up checklists, and administration. If you run audits, the Getting started, Audits and Results parts are all you need. Administrators should read everything.

  • Labels in grey frames, such as Send code, are the exact text of buttons and fields on screen when the interface is in English.
  • Website page addresses are set in a monospace font, for example /account.
  • Screen pictures are schematic. The order of elements and the labels match the real screen; the data is made up. Numbers in black circles are explained under the picture.
  • Some features depend on your company's server, for example signing in by SMS or with Telegram. These places say "if enabled for your company".

The manual always matches your version

You open the manual from ProAudits itself, through User manual on the website and in the app. It is stored on the same server as the system, so it describes exactly the version you are using. Switch the manual's language with the buttons above the table of contents.

Three ways to sign in, on the website and in the mobile app: a one-time code, a password, or Telegram. This chapter also covers choosing a region, connecting a company server, and what to do when you can't get in.

You can sign in only if your email or phone number is on an employee card in your company. An administrator creates the card (see chapter 21, Employees; invitations are in chapter 03). If you created the company workspace yourself, your card was created during sign-up. The ways to sign in are:

  • One-time code. This is the main way. A four-digit code arrives by email or SMS.
  • Password. Use this once you have received a password through Forgot password?. Your login can be your email, phone or the login from your card.
  • Telegram. Available if enabled for your company and your card has a Telegram login.

Signing in with a code. Each code works once. If the contact isn't found or the code doesn't work, sign-in stops. See If you can't sign in.

Open your company's ProAudits address. If you aren't signed in, the system's pages send you to the sign-in page /auth/signin. After you sign in, the Checklists page opens.

  • 2Contact field. By default it is Email; in phone mode the label changes to Phone.
  • 3Sign in with email sends a code to your email. The button is active once the field holds a valid address.
  • 4Sign in with phone number: the first click switches the field to phone mode, the second sends a code by SMS. If phone sign-in is turned off for your server, the button is inactive; use email instead.
  • 5Sign in with password switches the form to password sign-in (see below).
  • 6Telegram button: shown if Telegram sign-in is enabled for your company (see below).

How to sign in with a code

  1. Enter your email and click Sign in with email. To use your phone instead, click Sign in with phone number, enter the number and click the same button again.
  2. The Verify code window opens. Look for the email "ProAudits verification code" or the SMS with the code.
  3. Enter the four digits. The code is checked as soon as you type the fourth digit; you can also click Verify.
  4. If the code is right, the Checklists page opens.

A two-minute timer and no resend button

When the timer reaches zero, "OTP expired.." appears and Verify becomes inactive. The website window has no resend button: reload the page and request a code again. If you requested several codes in a row, any unused code from the last five minutes will work.

Phone numbers go in international format: "+", the country code and the number, with no spaces, brackets or hyphens. The website looks the number up exactly as typed, so it has to match the number on your employee card character for character, otherwise you get Account not found.

Wrong or expired code. On the website this opens a system page that says Authorization error... with a Retry button. The button takes you back to the sign-in page, where you can request a new code.

Click Sign in with password under the form. The Email, phone or username field accepts any of the three: your email (letter case doesn't matter), your phone exactly as it is on your card, or your login. The login is the Telegram username from the Username field on your card. Enter your Password (the eye icon shows it) and click Sign in. The button becomes active once both fields are filled. To go back to codes, use Sign in with a code.

Where the password comes from

No ProAudits screen lets you set or change a password. The only way to get one is the Forgot password? link, which sends you a new password. Until you use it, password sign-in answers Invalid username or password.

The Forgot password? link appears only in the password form. It opens /auth/forgotPassword with the hint "Enter your email, phone or login — we'll send you a new password". Whatever you typed as your login in the form is carried over. Click Send new password.

  • The system creates a new 8-character password and sends it right away. It avoids look-alike characters such as 0/O and 1/l. Your previous password stops working at the same moment, with no confirmation step.
  • If you typed a phone number and SMS is available on your server, the password arrives by SMS. Otherwise it goes to the email on your card.
  • The screen shows A new password was sent to and a masked address such as "a***a@g***m". Click Sign in to go back to sign-in.

If enabled for your company, the sign-in form has an or block with a Telegram button. For it to work, two things are needed:

  • your Telegram account has a public username;
  • the same username, without "@", is in the Username field of your employee card.

On the website the button is drawn by Telegram itself and appears under every version of the form. If the username isn't on any card, a system page opens that says User is not exists... with a Retry button. In the app the "Sign in with Telegram" button appears only on the first step of code sign-in. It opens Telegram's sign-in page inside the app; to close it, tap Close. If the username isn't found, the Account not found card appears with your @username.

When you aren't signed in, the app opens on a cover screen that reads Audits and checklists, always at hand and Checks, action plans and tasks in one place. The Sign in button at the bottom raises the sign-in form; you can swipe it back down. The button in the top-right corner shows the language code, for example "EN" or "AR". It opens the Language list, and the language changes immediately.

Step 2: the code. "Edit" takes you back to the contact field.
  • 1Language: the button with the language code opens the Language list.
  • 2One field for your contact. The app works out whether you typed an email or a phone number. The hint in the field is Email or phone, or just Email if phone sign-in isn't available on the selected server. Errors show Invalid email or Invalid phone number under the field.
  • 3Company server: for companies that run their own ProAudits server (see below).
  • 4Region decides which server you sign in to.

How to sign in to the app

  1. Enter your email or phone and tap Send code. Type phone numbers with "+" and the country code.
  2. The code step shows where the code went (We sent a code to). If the contact is wrong, tap Edit.
  3. Enter the four digits; the code is checked automatically. A wrong code shows Invalid code and clears the boxes so you can try again.
  4. The timer counts down two minutes and stays correct even if you switch to your mail app and come back. When time runs out, The code has expired and a Send code button for a new code appear.

If no card has your contact, an Account not found card appears instead of the code step. It has the links Try another contact, I have a company code (if your server allows connecting company servers) and Create a workspace for your company (if registration is open). Password sign-in and password recovery work in the app as they do on the website. On the recovery screen the field is called Username.

ProAudits runs on several servers. On the website there is nothing to choose: each server has its own address, so open the one your company gave you. In the app you choose the server on the sign-in screen, and only there.

Region

pick from a listdefault: your device's region

The Region button at the bottom of the form opens a list with the hint "Your region decides which ProAudits server you sign in and sign up on." The list starts with Worldwide, followed by countries in alphabetical order. You can search with Search for a country by the English or Russian name. Choose the region your company uses. The region decides whether phone and Telegram sign-in are available.

To change servers, sign out first

After you sign in there is no server switch. To move to another server, sign out and choose a region or company server on the sign-in screen. Unsent work from the previous server isn't lost: it goes out when you sign in to that server again. In some regions the company server card isn't shown.

  • The website keeps you signed in in this browser. If an administrator changes your role, the change shows up within about five minutes, or straight away after you sign in again.
  • The app keeps you signed in between launches. If the server can't be reached, you stay in the app and see the last data it loaded, with the banner "No connection to the server — showing the last data" under the tab headers.
  • After your first sign-in on a phone, the system asks for permission to send notifications. Allow it to receive push notifications (see chapter 14).
  • Signing out on the website: avatar in the top-right corner → Sign out. In the app: More → the gear icon → Sign out. You are signed out immediately, with no confirmation.

Where access to ProAudits comes from: an invitation from your company's administrator, or a new company workspace that you create yourself in the mobile app.

There are two ways to get access:

  • An invitation. If your company already uses ProAudits, an administrator adds you in Employees and you receive an invitation. You don't need to sign up yourself.
  • A new company workspace. If your company isn't on ProAudits yet, someone creates a workspace in the mobile app. That person becomes the administrator and invites everyone else.

Don't create a second workspace

If your company already uses ProAudits, a new workspace will be empty and separate, with none of your colleagues, checklists or audits. Ask your administrator to add you instead; the invitation arrives on its own.

An invitation is an email or SMS with a sign-in link. It is sent automatically when an employee card is saved with a new or changed contact and that employee has never signed in. An administrator can also send it by hand with Send invitation or Resend invitation on the card, or with Invite everyone who hasn't signed in for everyone at once. The bulk send skips anyone invited in the last 24 hours. See the Employees chapter for details.

  • Channel. If the card has an email, the invitation goes by email. If there's no email but there is a phone number and SMS works on the server, it goes by SMS. With no contact at all, the system answers Add an email or phone number first.
  • The email is titled You've been invited to ProAudits. It says who added you and which contact to sign in with. If this is set up for your server, the email has a sign-in button.
  • The link doesn't expire. It leads to the invitation page and contains no code, so you can still use it a week later.
STATUS ON THE EMPLOYEE CARD No contact details the card has neither an email nor a phone Not invited there is a contact, but no invitation has been sent Invited email or SMS sent, the employee hasn't signed in Active signed in with a code, password or Telegram email or phone added card saved, or a button first sign-in The status is visible to those who can open Employees. After the first sign-in, no more automatic invitations are sent.
Invitation statuses: No contact details → Not invited → Invited → Active.

The button in the email opens the /join page on your company's website, even if the app is installed on your phone. The page lets you choose where to sign in.

What an invited employee does

  1. Open the invitation and choose Sign in in the browser or Open in the app. You can also just open the website or the app and type your contact.
  2. Request a code for the contact named in the invitation and enter it (see chapter 02).
  3. That's it: the status on your card changes to Active.
  4. If you like, get a password through Forgot password? so you can sign in without a code.

If someone else is already signed in to the app, it asks whether to sign them out (Sign out and continue or Stay signed in). If the link is broken, you'll see "Couldn't open this invitation link. Sign in manually."

A company workspace can be created only in the mobile app. On the sign-in screen, tap Create a workspace for your company under New to ProAudits?. The link is there if registration is open on the selected server, so choose the right region first. The wizard has four steps: Start → Contacts → Plan → Review. The top shows "Step 2 of 4", and the bottom has Back and Next. If you close the wizard after typing something, the app asks Stop creating the workspace?, because what you entered won't be saved.

Full name must be at least two characters. Email is what you will sign in with. Below the optional divider are Phone and Telegram username; the "@" is already in place and spaces are removed. Each contact is checked across the whole server to make sure it is free (Checking…). A taken contact shows This email is already in use, This phone is already in use or This login is already in use. Plan step

pick a cardlimits apply to the whole workspace

Choose a plan: Limits apply to the whole workspace. Plans are shown as cards you can swipe through. The Free card, marked No payment, is selected by default. It lists its limits: how many employees, units and checklist templates you can have and how many checklists can be filled in a month (for example, "Up to 5 employees"). The Choose button changes to Selected. The Enterprise card (On request) offers custom terms and your company's own server. Its Contact us button opens your mail app with a ready-made message. Paid plans are not on this step: they are chosen after registration, in Usage → Change plan.

If the plans don't load, tap Try again. If the server has no self-service plan, you'll see "Workspaces on this server are set up on request. Write to us and we will set one up for you." In that case there is no Next button. See Plan, limits and billing for more about limits.

Tick "I accept the terms of use"; the terms of use link opens the text. Then tap Create workspace. If the server refuses, the reason appears above the buttons. Tapping again after a dropped connection won't create a second workspace.

AffectsNew workspace

The workspace exists straight away. The Workspace created screen asks you to sign in with the email you gave, and its Sign in button opens the sign-in form with that address filled in. No sign-up email is sent: tap Send code and enter the code from the email.

  • You are the workspace's administrator, and every section is open to you.
  • The workspace already has four roles: "Admin" (yours), "Employee", "Shift Manager" and "Store Manager". Their names are always in English; you can rename them in Roles (see chapter 23).
  • The plan you chose is in effect. When a limit is reached, the add buttons become inactive (see chapter 24).

The usual next steps are to create your units (Structure), add employees (Employees), who will receive invitations, and prepare checklists (Processes and checklists).

Company servers never offer self-registration, and other servers can have it switched off by their owner. In that case the sign-in screen has no Create a workspace for your company link, and the wizard shows Registration is closed on this server instead of its steps: "Accounts here are created by your company administrator. Ask them to add you as an employee, then sign in with the email or phone from your employee card." The Sign in button takes you back to the sign-in form.

What the website and mobile app screens are made of: the menu, the top bar, the tabs, the More screen, theme and language, and where to open this manual.

After you sign in, the website opens the Checklists page. The sidebar is on the left, a bar with the page title and shared buttons runs along the top, and the content sits in the middle. On the audit screen (/audit), the checklist editor and the items library, the sidebar is hidden and a Back arrow replaces the menu button in the top-left corner.

Who gets what

Only administrators get the whole Admin group. Area and store managers get Employees, and the rest of the group is greyed out for them. At the Editor level Structure is greyed out and the Editor item is active. For every other level both Structure and Editor are greyed out. Usage is open to administrators only. The full table is in Roles and access levels.

From left to right:

  • Menu button: collapses and expands the sidebar.
  • Page title and controls. They differ by page. Checklists has Processes, a count and a search. Tasks has a My tasks / Assigned by me switch. Calendar has a month or week choice. Dashboard and Action plan show only the title here; their filters, period and export are on the page itself. There is no search across the whole system, only search inside individual pages. On narrow screens the page title may be hidden to leave room for the buttons.
  • Theme: three icons, System, Light and Dark. Shown on screens about tablet width and wider.
  • Outbox (tray icon) opens /outbox. A spinning badge means data is still being sent; a red number shows how many records failed to send. See chapter 09.
  • Notifications (bell) shows a red unread count (above 99 it reads "99+"). It opens a panel with Mark all as read, the tabs All, Unread and Archive, and Archive read at the bottom. An empty list says No notifications. See chapter 14.
  • Avatar with your initials (tooltip Account). The menu shows your name, your role name (or your email if you have no role) and two items: Account opens /account, and Sign out ends the session immediately.

A floating bar of five tabs sits at the bottom of the screen. The tabs show icons only, with no labels, and the active tab is highlighted. The header of each main tab has Outbox and Notifications buttons on the right with counts (above 9 they read "9+"). If the app loses contact with the server, the banner "No connection to the server — showing the last data" appears under the header.

On the website Tasks and Action plan are two separate menu items; in the app they share one tab with a switch. The outbox and notification buttons sit in the top bar on the website, and in the header of each main tab in the app.

  • 1Your profile: avatar, name and role chip (or your email if you have no role); an account holder also has the Account holder chip. The gear, Edit profile, opens the profile screen with Sign out and Delete account (see chapter 05).
  • 2Sync: this block appears only when something hasn't been sent. Syncing changes with a count means data is on its way. Some changes didn't sync means sending failed; tap it to retry, and if that doesn't help, Sync error lists the reasons. Queued for another workspace means the data waits until you sign in to the other server again.
  • 3Settings: Appearance (Light, Dark, System) and Language (nine languages, each named in its own script).
  • 4Administration: the Usage card (administrators and account holders, who get this block right under the profile; see chapter 24), Team members (administrators, area and store managers), Structure and Roles and job titles (administrators only), and Checklist editor (administrators and editors). Everyone sees the buttons; the ones you can't use are greyed out.
  • 5More: User manual, the Update to version button (when an update is out), and the installed version number.
  • 6AI credits: the company's credit balance, when it runs AI features. The line is shown to people without Usage; it opens the AI credits screen with the balance and the packs (chapter 24).

AI credits 4

AI features spend credits from your company's balance. The balance never expires at the end of a month. A photo import usually costs 100–200 credits.

The Account page of an editor. The AI credits card appears if the company runs AI features.
  • 1Header: avatar with initials, your name and a level chip. Administrators get a second "Admin" chip next to it, so the word appears twice; account holders also get the Account holder chip.
  • 2Profile card: your details from your employee card, read-only.
  • 3Language: the language of the whole system for your account.
  • 4AI credits: the company's credit balance (below).

Two more blocks may follow. Plan and billing is for account holders only: the subscription, the holders and the payments (chapter 24). AI features appears when the company runs AI features: Monthly limits for each feature and Warn when credits drop below. Only an administrator can change these settings; everyone else sees them read-only.

FieldWhat it shows
NameThe name on your employee card
EmailThe email you sign in with and receive messages at
RoleThe role name as your company set it (for example, "Store Manager")
LevelThe role's level: Admin, Editor, Area manager, Store manager, Shift manager, Employee or Read only (see chapter 01)

Empty values show as "—". You can't change these details on this page because they come from your employee card. If something is wrong, such as your name, email or role, ask your administrator (see the Employees chapter). The page has no password, theme, sign-out or account deletion: sign-out is in the avatar menu, the theme is in the top bar, and passwords are issued through "Forgot password?".

Choose one of the nine languages (English, Русский, Español, Português, Deutsch, Français, 日本語, العربية, עברית) in the Language field. The page redraws in the new language straight away; there is no Save button. If saving fails, the field goes back to the old value; just try again.

  • The language is stored on your account and applies on the website in any browser.
  • Your notifications, including push notifications in the app, come in the same language.
  • Until you pick a language, the sign-in page and the mobile app open in your device's language. If the app is not available in it, the language of your region is used, and English otherwise. The language you first sign in with is saved on your account.
  • A language you pick in the mobile app's settings is saved on your account too.
  • Arabic and Hebrew are written right to left: the website mirrors its layout at once, and the mobile app asks you to close and reopen it once so that its screens mirror too.

This card appears if the company runs AI features, for example importing a checklist from a photo (see chapter 20). Administrators and account holders don't see it here: they follow the credits, the forecast and the history on the Usage page (chapter 24). Credits are the company's shared balance, not money; they don't expire at the end of a month.

Balance

figureeveryone except administrators

Balance is how many credits can be spent now. Below it: an estimate of how many photo imports are left, "… on the account" and "… reserved" (credits an AI task holds while it runs), "… used this month" and "… added this month". When the credits run out, the card shows AI credits ran out and the hint To use AI features, top up the credit balance. Instead of a figure you may see Unlimited, No AI credits have been added yet or No plan is configured — AI import is unavailable. If the data doesn't load, tap Try again. Account holders top up the balance (chapter 24).

The Credit history block is visible to the Editor level. It lists only the current month's operations and starts empty again when a new month begins. Each row shows the operation (for example, "Import checklist: …"), the time and the employee, the number of credits with a minus or plus sign, and a status: Reserved, Charged, Returned, Granted, Adjustment, Purchase or Refund. With no operations it says No usage yet. Page through with Previous and Next.

Profile in the app. Hold "Delete account" until the bar fills up.
  • At the top are your avatar, name and role chip. Below is the User profile block: Name, Email, Role, Level.
  • Sign out signs you out immediately, with no confirmation. The app stops receiving push notifications on this device and returns to the sign-in screen.
  • Language and theme aren't set here but on the More screen, in the Settings block (see chapter 04). AI credits are on the More screen too. The app has no password change.
  • An account holder has the Account holder chip next to the role, and the Plan and billing section below the profile (chapter 24).

You can delete your own account only in the mobile app:

  1. Open your profile (More → the gear).
  2. Press and hold the red Delete account button until the bar fills up.
  3. In the Are you sure? dialog (This action cannot be undone.), tap Delete account or Cancel.
  4. Once the account is deleted, the app signs you out. If the server refuses, a message titled Delete account appears.

Only your own user account in this company is deleted. The company workspace and its data stay: checklists, audits and the action plan. You can no longer sign in with that email or phone; you'll get Account not found. The contact itself is freed up and can be used on a new card.

If you are the only administrator

The app doesn't check whether the company has other administrators. Before deleting your account, give another employee a role with the Admin level. Otherwise nobody will be able to manage employees, structure and roles.

Part

Audits

Everything about the check itself: where to find a checklist, how to fill it in the browser and in the mobile app, how your changes reach the server through the Outbox, and what happens after you finish.

06

The ProAudits home page. It lists the processes and checklists available to you, shows your drafts, and is where every check starts.

A checklist is a check template: groups of items that the auditor marks on site. Checklists are grouped into processes, which work like topic folders such as "Kitchen" or "Service". Processes and checklists are created by people with access to the editor (see the editor chapter); on the home page you only pick them.

Every checklist has one of three types, shown under its name:

  • Detailed audit — a large check where you fill one group of items at a time;
  • One-page checklist — all groups on a single page;
  • Certification — looks like a checklist, but has no responsibles for deviations and creates no action plan cards (see chapter 10).

In the browser the home page is at / and is the first item of the sidebar, Checklists. Every role has it.

On a wide screen (1024 px and up) the page has two columns: the list of processes on the left and the checklists of the selected process on the right.

  • 1The Processes title and the number of processes. Shown on wide screens only.
  • 2Checklist search — by name, across all processes (see below).
  • 3The Outbox and notification icons. The first shows whether everything has reached the server (chapter 09), the second opens notifications (chapter 14).
  • 4Type filter: All, Audits (detailed audits and one-page checklists) and Certifications. The buttons themselves carry no counts — counts sit on the processes. The filter is not remembered: next time the page opens on "All".
  • 5A process row. The round icon is tinted with the process colour (set in the editor); the number on it is how many checklists of this process are available to you under the current filter. A process with no available checklists is greyed out and cannot be clicked.
  • 6Right column header: the process name and the number of checklists ("1 checklist", "5 checklists"). The cross clears the selected process.
  • 7A checklist row: icon, name, type. If you have an unfinished check for this checklist, a pulsing Draft appears on the right. Clicking opens the check (see below).

The selected process is remembered in this browser, so next time its checklists open straight away. If a filter change leaves the process with no matching checklists, the selection is cleared automatically.

You can resize the left column by dragging the divider between the columns (220 to 480 px); the width is remembered too. From the keyboard, the arrow keys move the divider, and Home and End snap it to the limits.

On screens narrower than 1024 px only one column is shown: first the processes; tapping a process opens its checklists, and the arrow in the header takes you back.

In the web app, checklist names in the list are always shown with every word capitalised, regardless of how they were saved in the editor. The mobile app shows names exactly as saved.

What you seeWhen it happens
No processes foundYour company has no processes yet. The description reads "You haven’t added any processes with audits or certifications yet." The browser shows no link to the editor here; the app has an Add process button (see below).
Select processNo process is selected yet — click a process on the left.
Checklists with "You haven’t added any audit/certification checklists…"The selected process has no checklists available to you under the current filter.
Grey bars instead of rowsThe list is loading.

The search field, with the hint "Search checklists…", is always in the top bar of the home page. As soon as you click into it, a list of all checklists available to you opens below — even before you type anything. The list narrows as you type.

  • It matches part of the checklist name, ignoring case. Process names are not searched.
  • Each result shows the icon, name and type of the checklist, followed by a dot in the process colour and the process name.
  • If nothing matches, you see No audits found.
  • Close the list with Esc or by clicking anywhere outside it.

Open drafts from the list, not from search

In the web app, a search result does not resume your draft for that checklist — it opens a new check. To continue an unfinished check, open the checklist in its process list (where the "Draft" mark is shown) or in the Outbox (chapter 09). In the mobile app, search handles drafts the same way as the list.

Each person sees their own set of checklists. It depends on your role and on which subdivisions you and the checklist are attached to. The rule:

  • A checklist is shown at all only if it sits in a process and is not archived.
  • Users whose role level is Admin or Read only see all such checklists.
  • Everyone else (including Editor, Area manager, Store manager, Shift manager and Employee) sees a checklist only when both conditions hold:
    1. your role is in the checklist's list of roles;
    2. if the checklist is attached to subdivisions, at least one of them is within your scope. A checklist with no subdivisions has no such restriction.

Your scope is the subdivisions you are attached to (main and additional), everything below them, and everything above them. For example, a regional director sees checklists attached to the region's restaurants, and restaurant staff see checklists attached to their restaurant or to its region.

START Checklist in a process and not archived Role level "Admin" or "Read only"? Role in the checklist's list of roles? Checklist subdivisions none set, or within your scope? Sees the checklist all checklists in processes Sees the checklist can start a check Does not see it role not in the list Does not see it other subdivisions no yes yes yes no no
Checklist visibility. For everyone except "Admin" and "Read only", both conditions must hold at once: a matching role and a matching subdivision.

The process list itself is not limited by role: everyone sees all of the company's processes in the same order. Only the checklists inside are limited. That is why, in the browser, a process with nothing available to you stays in the list but greyed out, while the mobile app hides it.

Users with a Read only role level see checklists but cannot start checks in the web app: checklist rows in the list and in search are inactive.

Can't see the checklist you need?

Ask an administrator to check three things: that the checklist is in a process, that your role is in the checklist's list of roles (chapter 19), and that you are attached to the right subdivision (chapter 21, chapter 22).

A draft is your latest unfinished check for a checklist. It belongs to you and the checklist, not to a store: if you started checking one store and did not finish, the next click on that checklist opens that same check. You never see other people's drafts.

In the browser

  • Clicking a checklist row marked "Draft" opens that draft.
  • Clicking a row without a draft creates a new check and opens it straight away (address /audit, chapter 07).
  • A new check can only be created while you are online.
  • If the check cannot be created — for example, there is no connection or your company's plan has run out of checks (chapter 24) — you are simply returned to the home page, with no message.

In the mobile app

  • Tapping a checklist without a draft starts a new check; a spinner turns in the row while it is created.
  • Tapping a checklist with a draft resumes the draft if it was started no more than 7 days ago.
  • A draft older than 7 days — the app asks first: the Old draft dialog says "This checklist was started on date and never finished. Continue it, or delete it and start a new one?" with the buttons Cancel, Delete and start new and Continue draft. This keeps today's check from being recorded into an old forgotten draft.
  • A long press on a checklist opens a menu: Start new (inactive while a draft exists), Continue draft and Delete draft (both inactive when there is no draft). Deleting asks for confirmation, with the buttons Cancel and Delete; the action cannot be undone.
  • The start time of the check is the phone's time at the moment of the tap.

In the app you can start a new check even offline, as long as this checklist has already been opened on the device while online (the app keeps a copy). If there is no copy and the server does not respond, you see No connection to the server — "The server can't be reached and this checklist isn't on the device yet. It will open as soon as the connection is back." Any other failure, including a used-up plan limit, shows Error and "Could not start the checklist. Please try again".

In the mobile app, home is the first tab of the bottom bar (the house icon; the tabs have no captions). The screen is called Processes. The Outbox and notification icons sit on the right of the header.

07

How to fill a checklist in the browser: the check header, groups and items, photos, comments, responsibles, item search and finishing. For the differences in the mobile app, see chapter 08.

A check opens at /audit — from the checklists list, the Outbox, Tasks and the Calendar, or from a direct link. You must be signed in. The sidebar is hidden on the check page. The top bar shows a back arrow (it returns to the Checklists home page), the icon, name and type of the checklist, a magnifier button for searching items, and the usual Outbox, notification and account icons.

There is nothing to save. Every mark, photo and choice of store or auditee is written in the browser immediately and then sent to the server (chapter 09). Comments are saved when you leave the field.

If the check cannot be loaded, you see Audit unavailable. Offline, the explanation is "You're offline and this audit isn't cached on this device. Reconnect to load it."; otherwise "We couldn't load this audit. Please try again later." The buttons are Try again and Back.

Auditor and date

read-only

Auditor is the person who started the check — you. Date is the day the check was started; it is always shown as DD.MM.YYYY. Neither field can be changed.

Store

listrequired

The list contains only subdivisions of the store type within your scope: the stores inside the subdivisions you are attached to (main and additional), including your own store. Neighbouring subdivisions are not listed. An administrator who is not attached to any subdivision sees every store in the company.

If exactly one store is available to you, it is filled in automatically. If you are not attached to any subdivision, the list is empty and such a check cannot be finished — contact an administrator (chapter 21).

Changing the store clears an auditee chosen from the team (a typed name is kept) and resets the responsibles on items. After finishing, the field turns into plain text with the store name.

AffectsEmployeeResponsiblesAction planNotifications

Employee (auditee)

choice or textrequired

The field becomes available once a store is chosen. The chain icon to the right of the field name switches between two modes:

  • Chain highlighted — choose from the team. The list holds every active user attached to the chosen store (as their main or additional subdivision): managers first, then everyone else. There is no role-level filter — an administrator or area manager also appears if attached to the store. People attached only to the region above the store do not appear.
  • Chain grey — type a name. Useful when the person is not in the system.

A typed name has consequences: that auditee gets no notification about the check, and no feedback request is created for them (chapter 10). Item responsibles are not affected.

AffectsNotificationsFeedback

Below the header are the items of the checklist, split into groups. The layout depends on the checklist type:

  • Detailed audit — one group on screen at a time. Pick the group in the Select a group list (searchable); each group shows its result on the right. The first group opens first.
  • One-page checklist and Certification — all groups on one page as collapsible sections. Only the first is expanded at first; several can be open at once.

A group header shows the group name, the group result and, if the group has a description, an (i) button that shows it. The group result is a score (a percentage or an average, depending on the group's setting), not progress: there are no "answered of" counters in a check.

To mark an item, click its row — the text or the square on the right. Each click moves the mark one step round the cycle. There is no "Save" button: the mark is recorded immediately.

  • 2A critical item has a reddish background. The browser shows no separate "critical" label. How many critical items may fail is set in the checklist (see the result).
  • 3Item toolbar: camera, gallery (if allowed by the checklist) and comment.
  • 4Assignees — appear only on items marked "No" (below).
  • 5"Something missing" hints: a yellow frame means a required item is not marked yet; a red camera means a photo is required; a red comment icon means a comment is required.

If an item has a description, an (i) button appears next to its text to show and hide it. Some descriptions are always shown by the checklist. Reference photos attached to the item in the editor are shown above it — they cannot be deleted.

Besides ordinary items, a checklist can contain three special kinds:

Slider item

scale0 … weight

Instead of the square: a "scored / weight" value, − and + buttons and a slider with the step set in the checklist. Clicking the row does not change the mark. Zero means "not marked", a value of one step means "No", more than one step means "Yes". The value is saved on every change.

Item with sub-items

sum of sub-items

The item itself is not clickable — you mark its sub-items, each through the same cycle. The square shows the points scored out of the item weight; the item mark is derived from the sub-items automatically.

List item

pick an option

First pick an option from the drop-down — until then, clicking the row does nothing. After that the row is marked as usual. If you clear the choice, the mark resets.

Item photos

  • The camera button opens the camera on a phone and a file picker on a computer. You can pick several pictures at once. Dragging files onto the page is not supported.
  • The gallery button exists only on items for which the checklist has Photo gallery allowed turned on.
  • A red camera means the checklist has Photo required on for the item and there is no photo yet.
  • Before uploading, the browser shrinks the picture (to about 1024 px on the long side), so uploads are quick. While a photo uploads, a grey placeholder stands in its place.
  • Click a thumbnail to open the photo large; the window closes with its cross.
  • The red cross in the corner of a thumbnail deletes the photo immediately, without confirmation.

Item comment

  • The comment button opens the field. It also appears by itself if a comment already exists, if the checklist has Comment required even if “Yes” on, or if the item is marked "No" and Comment required is on.
  • If the checklist sets a minimum length, the field hint reads "Min. comment length: N". Only a comment longer than the minimum counts: with a minimum of 10 you need at least 11 characters.
  • The comment icon turns red while a required comment is shorter than 10 characters.
  • The comment is saved when you leave the field. Click outside the field before closing the tab.

Overall comment and photos for the whole check

At the very bottom of the form is the Comments card: free text about the whole check (also saved when you leave the field) and a camera button for photos that do not belong to a specific item. There is no gallery button here.

An item marked No gets a Assignees row — who must fix the deviation. After the check is finished, every responsible is assigned an action on that item's card in the action plan (chapter 10). Checklists of the Certification type have no responsibles.

  • The round "+" button opens the store team with a search field, Add assignee…. You can add anyone attached to the store, regardless of role. The button is absent when there is nobody left to add.
  • The cross on a chip removes the person.
  • If the checklist sets Responsible roles for the item, marking it "No" adds the store's employees with those roles automatically — once, and only if you have not changed the list yet. Any manual change turns auto-fill off for that item; a list you cleared stays empty.
  • If nobody can be added, a hint appears instead of the button: Choose a store to assign someone (no store chosen yet) or No employees are attached to this store.
  • Changing the store resets the responsibles on items.
  • If you left the list of a "No" item untouched, the role-based responsibles are filled in automatically when the check is finished.

The magnifier in the top bar replaces the checklist name with a search field. It matches part of the item text (ignoring case); group names and comments are not searched. Results form one list of items, each with its group name above it. You mark items in the results as usual.

  • The Show only unchecked switch keeps only items that are not marked yet, with the number of listed items next to it. An item you have just marked stays in the list for 10 more seconds so you can correct a slip.
  • If nothing matches, only a magnifier icon is shown.
  • While search is open, the check header (store, auditee, "Finalise") is hidden. To finish the check, close search with the cross next to the field.

Result = the sum of weights of items marked "Yes" (plus partial points of sub-items and sliders) ÷ the sum of weights of the counted items.

  • Counted are the required items and the optional items you have already marked. An optional item (in the checklist: Optional) left unmarked is not counted.
  • An unmarked required item counts in the denominator with zero — that is why the result grows as you fill the check.
  • If more critical items are marked "No" than the checklist's Max. critical items allows, the result becomes 0.
  • A slider earns points only in the upper part of its scale, in proportion to its value.

The header shows the result with one decimal place; the group list shows each group's result.

The Finish button in the header can always be clicked and opens the Ready to finish window. It lists six conditions, each with a green tick or a red cross. The window's Finish button stays inactive until all six are met: there is no "finish with a warning". Close takes you back to filling in.

"Items requiring a mandatory comment…"Items with "Comment is obligatory even if 'YES'" have a comment longer than the minimum length — whatever the mark.

If the checklist sets no minimum length, "longer than the minimum" simply means "not empty". The server re-checks the same conditions when it receives the finish.

The finish time is your device's time at the moment you confirm in the window (if the device clock runs fast, the server records no later than its own current time). After finishing you stay on the page: the check becomes read-only, the header shows the start and end times and the Print and Export buttons. What happens next is in chapter 10.

The same checklist on a phone: how the screen differs from the browser, how photos and autosave work, and what you can do without internet.

The rules of a check are the same in the app as in the browser: the same marks, the same result calculation, the same six readiness conditions and the same responsibles (chapter 07). What differs is the screen, photo handling, and the fact that the app is built to work without a connection. How to start a check and what an "old draft" is are covered in chapter 06.

  • 1Header: back arrow, checklist icon and name, the result in whole percent (colours as in the browser). The app has no "Goal", "Auditor" or "Date" fields.
  • 2Photo upload strip: photos uploading — keep the app open with the number of pictures, or a red photos failed to upload — tap to retry button.
  • 3Store and Employee are picked in a list that slides up from the bottom (hints Select store and Select employee). The chain switches to typing a name. A single available store is not filled in automatically, and the store team is not split into managers and others.
  • 4Item card: text, Weight, a red Critical chip on critical items, and the mark icon on the right: a tick (Yes), a cross (No) or a dash (not marked). Tapping the card moves the mark through the same cycle as in the browser.
  • 5The floating Finish button at the bottom of the screen.
  • Groups. In a Detailed audit the group is picked in the Select a group list with the group result; if the group has a description, a Description button sits next to it. Other checklist types show all groups at once, all expanded.
  • Special items. A slider shows "scored / weight" and a slider bar; on an item with sub-items you tap each sub-item; on a list item you pick an option in Select from list. The colour of the points chip: green — full weight scored, red — less than half, yellow — in between.
  • Item toolbar: comment, camera (red while a required photo is missing) and gallery — only if the checklist has Photo gallery allowed on. The comment field is flagged as an error while a required comment is shorter than the minimum length (10 characters by default).
  • Responsibles — on "No" items (except certifications): chips with a cross and an Add assignee… button. It opens the store team, where you can tick several people at once; the choice is applied when you close the list. If the team is unknown (no store chosen) or the check is finished, the button is inactive.
  • Bottom of the form: Overall comments and Photos for the whole check; here both the camera and the gallery are always available.
  • Item search is tucked above the form: pull the list down and a Search bar appears. From there it works as in the browser, including Show only unchecked. The "Finalise" button is hidden while you search.
  • Finishing. Finish opens the Ready to finish panel from the bottom with the same six conditions; its finish button is active only when all are met. After a successful finish the app takes you back to the previous screen.
  • A finished check opens read-only; instead of "Finalise" there is a Share button with Export to PDF and Export to Excel (the file goes to the system share menu).
  • There is no delete button inside a check. Drafts are deleted with a long press on the checklist (chapter 06) or in the Outbox (chapter 09).
  • The camera opens directly; in the gallery you can pick several pictures. If the app is not allowed to use the camera or photos, the button does nothing — allow access in the phone's settings.
  • Each picture is stored inside the app, converted to JPEG (including HEIC from an iPhone) and reduced to 2000 px on the long side. The copy on the phone is kept until the server confirms it has the photo.
  • A thumbnail whose upload failed carries a refresh icon — tap it to send again. The red cross on a thumbnail deletes the photo.
  • Tapping a thumbnail opens a full-screen viewer: pinch to zoom up to 4×, drag a zoomed photo with your finger, double-tap to switch between 1× and 2×.
  • Photos upload mostly while the app is open — which is why the strip asks you to keep it open.

Every action is written to the phone first and then sent to the server through the Outbox (chapter 09). That is why you can fill in a check without a connection. Comments, the typed auditee name and the overall comment are saved when you leave the field, a slider when you release it, responsibles when you close the list.

Finishing the check (sent later)

The finish time is the phone's time at the moment of the tap, even if the finish reaches the server later. The server never records a time later than its own current time, so a fast clock cannot create a finish "in the future". The start time is recorded the same way.

The finish waits for its photos. If photos of this check are still uploading, the finish waits for them for up to 2 hours so the report goes out with its photos. After 2 hours the finish is sent anyway.

If a finish was not confirmed, the app sends it again on the next launch. If the server's copy of the check turns out incomplete, the app sends its full copy from the phone by itself — you do not need to do anything.

  • The app checks the connection by itself — first after 10 seconds, then less often, but at least once a minute — and removes the line as soon as the server answers.
  • If you simply switch off the internet, the line does not appear at once, only when the app next tries to load something.
  • If you open a check that is not on the phone yet while the server cannot be reached, the screen shows No connection to the server with Try again and Back. Otherwise it shows Audit unavailable and Back.

Where to see whether your checks have reached the server, how sending works, and what to do if it gets stuck.

Everything you do in a check is saved on your side first — in the browser or on the phone — and then sent to the server. Until a change arrives, colleagues, reports and notifications do not see it. The Outbox is the list of your filled checklists with the sending status of each. From here you can also continue a draft, or open, export or delete a finished check.

ON YOUR SIDE Action in a check mark, comment, photo, store, finish Copy on the device saved at once, works offline too Outbox changes wait to be sent status: "Uploading" ON THE SERVER Server colleagues and reports see it, notifications go out Temporary error no network, server busy — retry after 5 s, then less often, up to 5 min "Sync error" the server rejected the change, or 20 attempts failed "Retry"
The path of a change. Sending happens by itself; you only need to step in on a "Sync error".
  • Browser: the tray icon in the top bar on every page; the address is /outbox. There is no sidebar item.

The number counts changes, not checklists

One check is made of many separate changes: every mark, comment, photo, store choice and the finish. So a "3" on the badge may all belong to a single check.

  • Sync error — at least one change was not accepted;
  • Synced — everything is on the server.

An unfinished check is also marked Draft. Rows load 20 at a time as you scroll. An empty list shows No completed checklists ("Checklists you fill in will appear here with their upload status."); a search with no matches shows Nothing found.

The list holds your finished checks of all time, plus checks and drafts saved in this browser. A draft started on another computer or in the app does not appear here. View opens a finished check in full in a read-only window.

  • 3Other changes (N) — changes not tied to your checklists: edits in the checklist editor or processes, feedback answers, or other people's checklists. Up to three are listed with the note Not tied to a checklist. Open diagnostics; tapping opens diagnostics.
  • A checklist row: name, "store • auditee", the date (always in short English format, for example "Oct 8, 2026"), a Draft chip and a status icon: a spinner — uploading, a green tick — sent, a red icon — error.
  • Tap: a finished check opens for viewing, a draft opens for continuing.
  • Long press: on a finished check — View, Export to PDF, Export to Excel, Delete (only for the "Admin" role level); on a draft — Continue draft and Delete draft.
  • If the app is connected to several workspaces, changes for another workspace are sent only once you sign in to it; the list gives them a single line, "N more in another workspace. They will send once you sign in to it".
  • On the last tab (the "…" icon) the status block appears only while something is unsent: a Syncing changes (N) line with a spinner, or the Some changes didn't sync (N) button, plus a Queued for another workspace (N) line.

Sync Diagnostics

The Status block shows App version, Server, Network (Online / Offline), Sending (In progress / Idle), Waiting, Failed, the state of Push notifications and when they were registered. Send now starts sending immediately; Share report produces a text report for support. Below is the Queue: every change with its kind (Checklist, Feedback, Checklist editor, Processes), status, technical action name, creation time, number of attempts, next retry time and the last error text. An empty queue shows The queue is empty — everything is sent.

  • Automatically. Every 30 seconds while the page or app is open; as soon as the connection is back; when you return to the tab or app; at start-up; and with the retry and "Send now" buttons.
  • In order. Changes of one check go strictly in the order you made them. Photos travel separately so a slow upload does not hold up the rest.
  • Retries. After a temporary error (no network, the server busy or unavailable) a change is retried after 5 seconds, then less and less often, with pauses of up to 5 minutes. After 20 failed attempts the change gets the "Sync error" status. If the server rejected the change (for example, the data did not pass its checks), the error is set at once.
  • No duplicates. Sending the same change again never creates copies on the server.
  • Sign-in. In the app, sending waits until you are signed in and online. If you signed out, unsent changes are kept and go out after you sign in again.
  • Retry clears the error on all changes, resets their attempt counters and starts sending right away.
  1. Make sure you are online and keep the tab or app open — sending resumes by itself.
  2. If the badge is red or a row shows Sync error, press Retry (browser) or Some changes didn't sync (app).
  3. In the app, open Sync Diagnostics: read the last error text, press Send now, and if that does not help — Share report and send the report to support or your administrator.
  4. An unfinished check can be continued straight from the Outbox — with its button or by tapping the row.

Browser: unsent changes live only in this browser

Until changes are sent, they are stored in this browser on this computer. If you clear the site's data, switch to another browser or use a private window, unsent changes are lost. While offline, do not close or reload the check tab.

App: errors older than 7 days are removed

The app keeps changes and photos on the phone until the server confirms them; changes waiting to be sent are never removed. But changes with the "Sync error" status that are older than 7 days are deleted when the app starts. Do not leave a red badge unattended. Failed photos are retried automatically every time the connection returns and at every start.

If, on finishing, the server reports that its copy of the check is incomplete (no store, auditee, marks or required photos), the app sends its full copy from the phone by itself — you will not notice anything special.

10

What happens to a check after "Finalise": where to find it, whether it can be changed, which tasks appear, and who receives notifications and the report.

When the finish reaches the server, the check is recorded with your finish time and its final result, and then the effects described below are triggered. If you finished offline, all of this happens later — when the finish is sent from the Outbox (chapter 09). If one of the effects fails (for example, an email is not sent), the finish itself is not undone.

Check finished time from the device, final result Read-only in the Outbox and the Dashboard history Action plan card per "No" item, one action per responsible (not for certifications) "Audit completed" push and/or email with a PDF — recipients set in the checklist's settings "Feedback requested" a task for the auditee, if turned on "New action assigned" one summary notification for each new responsible
Effects of finishing. Dashed — depends on the checklist's settings and on how the auditee was entered.

In the browser, View opens the check in a read-only window; right after finishing you stay on the check page, which also becomes read-only. In the app, tapping a finished check opens a view screen.

A finished check is frozen: marks, comments, photos, store, auditee and responsibles cannot be changed in the browser or in the app. There is no button to "reopen" a check.

  • Correcting marks is possible only for users with the Admin role level — with the Edit action in the check history of the Dashboard section (chapter 15). Only marks set by tapping can be changed; slider values and marks of items derived from sub-items cannot be corrected this way. The dates of the check are kept, and responsibles are not reassigned. Correcting needs a connection to the server. This action is not offered in the Outbox.
  • Deleting a finished check is possible only for the "Admin" role level — from the check header, the Outbox or the history. Any auditor can delete their own draft; a draft is deleted permanently.

For every item marked "No", the action plan gets a card for that item — one per store and month (chapter 11):

  • One action per responsible of that item — all of them go onto the item's single card. If you left the list of responsibles untouched, it is filled automatically at finish with the store's employees whose roles are set in the item's Responsible roles. A list you cleared yourself stays empty, and that item gets no card.
  • The action text is the item's comment; the card title is the item text.
  • The deadline is the finish date plus the item's Days to respond (7 days if not set), until 23:59:59. If the number of days is set in the checklist, the deadline is locked and cannot be changed.
  • If no store was chosen in the check, no cards are created. Checklists of the Certification type have no cards and no responsibles at all.
  • Each new responsible gets one summary notification, New action assigned, for the check — how many actions, for which checklist and store. The auditor gets no notification about assignments they made themselves.
  • Processing the same finish again never creates duplicate cards or notifications.

The Audit completed notification does not go to a fixed list of people: recipients and the delivery method are set in the checklist's notification settings (chapter 19). Possible recipients:

Checklist settingWho receives it
Notify store general managerUsers of the audited store with the Store manager role level
Notify auditeeThe auditee — only if chosen from the team, not typed in
Notify all store managersUsers of the store with the Store manager and Shift manager role levels
Notify store supervisorEveryone attached to the subdivision directly above the store (for example, its region)
Notify storeThe email address from the store card — email only
Additional emailsThe listed addresses — email only

For each recipient the checklist sets the method: a push notification in the app, an email with the report as a PDF, or both. Push arrives only on phones where the app is registered for notifications; emails — if email sending is enabled for your company. More on notifications in chapter 14.

Resend (in the Share menu of the Outbox and the check history in the browser) repeats the mailing to the same recipients with a fresh PDF. It is available to users with the "Admin" role level and to the auditor, and needs a connection. The button does not report a sending error.

If the checklist asks for it, the auditee gets a task to respond to the check results. The task is created only when all of these hold:

  • the checklist has Feedback required turned on;
  • a store was chosen in the check;
  • the auditee was chosen from the team (not typed in).

The deadline is the finish date plus Days to provide feedback. The auditee receives a Feedback requested notification. There is one task per check. The feedback form — marking the correction of every item and adding comments and photos — is filled in the mobile app, on the tasks tab (chapter 12).

What happens after the checks: fixing issues in the action plan, daily tasks and the audit calendar, notifications, and reporting on results.

A board where issues found in checks turn into concrete actions with a responsible person and a deadline, and move through “In work” → “Done” → “Approved”.

On the web, open Action plan in the Tools group of the sidebar (address /actionPlan). In the mobile app it is the second tab of the bottom bar (the clipboard-with-tick icon): the screen is called Tasks, and the board opens with the Action plan switch at the top.

The board always shows one store for one month. Each card is one issue: a checklist item marked No, or a free-form task you added yourself. A card holds a list of actions: what to do, who is responsible, by when, and how to check the result.

Cards appear in three ways.

  1. Automatically when a check is finished. For every item marked No that has at least one responsible person, the system creates a card for the check’s store in the month the check was finished, and adds one action per responsible person:
    • the action text is the auditor’s comment on that item;
    • the deadline is the finish date plus the number of days in the item setting Days to respond (7 days if it is not set), until 23:59 of that day;
    • the responsible people are those the auditor picked. If the auditor never touched the list and it is empty, the system fills in store employees whose roles are listed in the item setting Responsible roles (see the checklist editor).
These actions are locked: they cannot be deleted and their responsible person cannot be changed. Checklists of type Certification do not assign responsible people, so they create no automatic actions. Processing the finish of the same check again creates no duplicates.
  2. Manually from the month’s issue list — with Select issues (see below). Such a card lands in In progress empty: you add the actions yourself.
  3. A generic card — for a task that did not come from a check: the Add custom card button (the “+” in the In progress column header). Enter a Card name and choose a Process; the card is visible whenever that process is among the selected ones.

  • 2Month — the current month and the 11 before it. Names are shown without the year; earlier months are not available.
  • 3Processes — multi-select with search; the default is All processes. It filters both the board and the issue list.
  • 4Export — download the board as Excel or PDF (see Export). Disabled while the board has no cards.
  • 5Select issues — opens the month’s issue list. Disabled if the month has no issues.
  • 6Column counters with a percentage (see the table below). The percentage is hidden when there is nothing to divide by.
  • 7Board columns with a card count. The “+” in In progress is Add custom card. An empty column shows “—”.
  • 8Card: process tag, an icon for generic cards or library items (tooltip Library item), the latest deadline among its actions, the issue text (struck through in “Done” and “Approved”), the checklist name, a “done/total” progress bar and the initials of responsible people (up to three, then “+N”).

In progressCards in the columnWhat share of all the month’s issues (for the selected processes) is already on the plan — cards in all three columns.

ApprovedCards in the columnShare of all cards on the board.

Tip

If the board has no cards at all, you will see No action plan found and an Add custom card button instead of the columns. Check the month and the selected processes.

Select issues opens a window titled with the month name and the word “issues” (for example, “October issues”) and a counter. It lists every item marked No in finished checks of the selected store for the selected processes that were started in the selected month. Only the month number of the start date counts, not the year: items from checks of the same month in earlier years are listed too. A card created when a check is finished belongs to the month of finishing, so for a check started at the end of one month and finished in the next, the card may not show on the board. Items already on the plan stay in the list with the status Selected.

  • The switch at the top: All, Available, Selected — each with a count.
  • The Process button filters by process; it appears only when the list spans more than one process. Search looks in the item text, the checklist and the process.
  • Columns: Issue, Checklist, Process, Total (how many times the item was marked “No” this month), Status and a Select / Remove button. The most frequent issues are on top by default; any column can be sorted.
  • Tick several rows — a bar appears at the bottom with the number selected and the buttons Select (N), Remove (N) and Clear selection.

Important

Remove is disabled when the card already has actions, with the hint This issue already has actions in the plan — remove them first. Removing a card cannot be undone, so use it only to correct a mistaken pick.

Remove takes the card off the open board only — the selected store and month. The same item on the action plan of other stores and months stays, together with its actions.

If a change was not saved, an Error message appears: The change was not saved. Check your connection and try again. A bulk action stops at the first failure and tells you how many rows were saved. An empty list shows No issues found for the selected month, or with filters on, No issues match the current filters.

Click a card to open it full screen. The header shows the process tag, a Custom card badge (if it is one), the issue text, the checklist name, a counter of completed actions and a Photo badge if the item requires a proof photo. Generic cards also have a red Delete card button on the right; it asks Are you sure you want to delete this card? and works in any column.

PhotoProof photoA camera icon (Add photo) or a thumbnail; clicking the thumbnail opens a preview, Delete removes the photo.
Bin / lockDeleting the actionLocked actions show a lock instead of the bin and cannot be deleted.

Add action under the table adds a row. Save stays disabled until every row has action text and a responsible person. After you press it the window closes at once and saving finishes in the background. Cancel closes without saving.

Row rules

A completed row cannot be edited at all — clear the mark first.

An item that needs a proof photo (the item has Photo required): you can mark an action done only after attaching a photo; deleting the photo clears the mark.

Locked actions (created by a check): the responsible person cannot be changed and the action cannot be deleted; the deadline cannot be changed if the item has Days to respond set. Text, KPI, the done mark and the photo can be changed.

When a save makes all actions of a card in In progress done, you are asked All actions are done — Move the card to the “Done” column?. Move moves the card; Not now leaves it where it is — you will not be asked again for that card, and you can still drag it. If you clear an action’s mark on a card in “Done”, it does not move back by itself.

When you make an employee responsible for a new action, or change the responsible person, that employee gets a New action assigned notification (unless you assigned yourself). Changing the text, deadline or done mark sends nothing — see Notifications.

Move a card between columns by dragging it with the mouse (in the app: long-press, then drag). The new position is saved immediately; if the server rejects the change, the card snaps back.

  • In progress ↔ Done — any user.
  • Into Approved — only employees whose role level is Area manager or Admin (the level is set in roles). For everyone else the card silently snaps back, with no message.
  • Anyone can move a card out of Approved.

Saving removes the approval

If someone without approval rights saves changes to an approved card, the approval is dropped: the card goes to Done (all actions done) or to In progress. The app warns about this with Saving will remove the approval; the web version does not.

The board has no separate read-only mode: the Read only level works with it like the other levels, except for approval.

Export offers Export to Excel and Export to PDF. It exports the current board: the selected store, month and processes. The file is named after the action plan, the store and the month and year; the PDF is landscape. The top of the file shows the store, the processes, the date and two figures:

  • Selected — the share of the month’s issues that are on the plan;
  • Done — the share of completed actions among all actions on the cards.

Then, for each card: process tag, column, issue text and the table of actions. In the app the finished file goes to the system Share menu.

On the web, open Tasks in the Tools group (address /tasks). In the app it is the second tab of the bottom bar — the Tasks switch is open by default. Tasks are always shown for the person who is signed in.

This is not a to-do list

You cannot create a task by hand, tick it off or reassign it. Tasks come from checklist settings and the calendar, and they close when you carry out the check. Actions that fix issues are tracked separately — in the action plan.

“My tasks” on the web. Sample data; the last “Today tasks” row is a calendar event.
  • 1Title and switch. The number next to Tasks is all your tasks plus your feedback requests (open and completed). The switch: My tasks and Assigned by me.
  • 2Metrics — see the table below.
  • 3Overdue — tasks carried over from earlier days (the section shows only if there are any).
  • 4Today's tasks — today’s tasks by start time: the checklist name and “start · end”.
  • 5Feedback — requests addressed to you, on the In progress and Completed tabs (the section shows if you have any).
MetricHow it is calculated
Completion rateShare of today’s and carried-over tasks that are done; 100% when there are no tasks. Green from 80%, yellow from 50%, red below.
In progressTasks whose check has been started but not finished.
OverdueOnly unfinished tasks carried over from earlier days. Today’s late tasks are not counted.
FeedbackOpen feedback requests addressed to you.

Badges in a task row:

  • In progress — the check was started and not finished;
  • a time such as “09:02 – 09:15” — when the check was started and finished; green if it was done by the planned end, red otherwise; a green tick on the right;
  • Overdue — the planned end has passed and there is no check;
  • From previous days — the task was carried over.

If you have no tasks and no requests at all, the page shows You have no tasks assigned to you.

  1. Tap the task row — the checklist of that checklist opens. If you already started that check today, it opens; otherwise a new check begins (see Running a check).
  2. Carry out and finish the check. The task counts as done when you finish a check of that checklist today: the check is matched to the nearest time slot.
  3. On the web, the store from a calendar event is not filled into the check — choose it while filling in.

Limits

For the Read only level, task rows do not open on the web. Starting a new check may be refused if the company’s plan limit on checks has been reached (see Plan, limits and billing).

A feedback request asks the audited employee to respond to the issues that were found. It is created automatically when a check is finished, if all of these hold:

  • the checklist has Feedback required turned on;
  • the check has a store;
  • the auditee was picked from the employee list, not typed in by hand.

The due date is the finish date plus Days to provide feedback. There is one request per check. It contains the items marked No. The auditee gets a Feedback requested notification.

A request row shows the checklist, the auditor, the date (the due date in red if overdue; the reply date in green once answered), the check result, the result after the reply (if there is one) and the checklist’s goal “≥ N%”. Reply to a request in the mobile app: the form there shows the items with issues, a Comments field and photo buttons (Add photo, and Choose photo if the item allows it). On the web, requests are only listed.

“My tasks” shows up to the 30 latest requests in each state.

Assigned by me lists feedback requests from checks that you carried out. These are not hand-assigned tasks: you cannot reassign them or change the due date here. At the top are four metrics: Completion rate (share completed), In progress, Completed and Overdue (open requests past their due date). Below are the In progress and Completed tabs; each row shows the auditee and the store.

On the web, in-process rows are inactive. View a colleague’s reply in the mobile app. With no requests, the page shows No tasks assigned by me.

The metrics cover the whole visible grid, so they include the dimmed days of neighbouring months.

The Week view has seven columns with a 24-hour timeline; clicking a day header selects that day. An event block shows the checklist, the time “start – end” (end = start + the checklist’s duration) and the store. The event colour is the colour of the process the checklist belongs to.

Press Add event or the “+” in the day panel — a panel opens on the right. To edit, click the event itself — Edit event opens. The event is saved for the employee selected in the Auditor field: the panel has no separate “for whom” field.

Besides events, the calendar shows Routines slots of checklists for your role — by the same day rules as in tasks. Routine slots:

  • are read-only — you cannot edit or delete them here; the schedule is changed in the checklist settings;
  • always have the same colour and no store;
  • count towards Events, Hours and Scheduled days.

Below the calendar, full width, is the Time distribution block (subtitle Processes): a radar chart of hours by process and a legend with the hours and share of each process. Checklists without a process are shown one by one. With no events it shows No scheduled events.

What ProAudits tells you about, to whom, through which channels — and where to find notifications on the web and in the app.

Notifications arrive three ways: in the notification list (the bell on the web and in the app), as push on a phone with the app installed, and by email. Which channels are used depends on the notification type. Users have no personal notification settings: the recipients of a check report are set by whoever sets up the checklist, and push on a phone can be turned off only in the phone’s system settings.

Check finished once per check NOTIFICATION → RECIPIENTS “Audit completed” recipients from the checklist’s notification settings · email with PDF and/or push “New action assigned” responsible people of “No” items (not the auditor) · in app, push, email “Feedback requested” the auditee, if the checklist requires feedback · in app and push

What does not send notifications

Moving or approving cards in the action plan, approaching or passed action deadlines, a reply to a feedback request, and calendar events create no notifications.

Recipients are set in the checklist settings, in the Notifications settings section: email and push are switched on separately for each group of recipients.

SettingWho gets it
Notify store general managerStore employees whose role level is “Store manager”
Notify auditeeThe auditee (if picked from the list, not typed in)

Additional emailsThe listed addresses — email only
  • The email: subject “Audit completed: <checklist>”, with the auditor, store and result in the text; the PDF report is attached. The email is written in the company’s default language.
  • If a person is in several groups, the channels are combined. Someone with only email turned on gets the email but no entry in the notification list; push always comes with a list entry.
  • The notification is sent once per check: processing the finish again does not repeat it. To send it again, use Resend in the results history.

New action assigned

  • After a check, each responsible person (except the auditor) gets one summary like “2 new actions from the audit “…” · store”. Tapping it opens the card of the first action.
  • From the action plan board — one per assignment: “store: action — until deadline”. Not sent if you assigned yourself. Not sent twice for the same action to the same person.

Feedback requested

Title “Feedback requested: <checklist>”; the text gives the store, the auditor and the reply deadline. See Tasks for details.

Checklist reminder

  • Arrives 15 minutes before a routine slot starts: “Checklist in 15 minutes”, “<checklist> starts at <time>”. Tapping it opens the tasks.
  • Goes to employees whose role is in the routine (taking the checklist’s units into account) and who have ProAudits push enabled on their phone.
  • Not sent if you have already done that checklist enough times today, or if the reminder is more than a few minutes late.
  • The time follows the phone’s time zone, or the company’s time zone if the phone’s is unknown.
  • Reminders work if they are turned on for your ProAudits server.

Push and email texts (except the “Audit completed” email) arrive in the language the recipient chose, or the company language if they did not choose one.

Results of finished checks over a period: summary metrics, history, analytics by process and issue, ratings of employees and stores, and Excel export.

Open Dashboard in the Tools group (address /dashboard) or the fourth tab of the app’s bottom bar. On the web there are three tabs: Overview, Analytics and Ratings.

Reports include only finished, non-deleted checks. The data is limited to your part of the structure: you see the stores and units you are attached to.

The period is chosen in the Period field on the toolbar (a date range; there are no presets). The default is from the first day of the current month to today. A check belongs to the period if it was started or finished in it. The 12-month charts place each check by its start date.

The Filters button (with the number of active filters) opens a panel on the right. Filters apply immediately; Apply only closes the panel, Reset filters clears everything. Filters are kept while you move around the app but reset when the page is reloaded. The Refresh icon button reloads the data.

FilterWhat it selects
AuditorChecks carried out by the selected employee.
StructureA unit; also narrows the lists of stores, auditors and auditees. Choosing a unit clears the selected store.
StoreOne store; takes priority over the selected unit.
ChecklistChecks of one checklist.
AuditeeChecks of one employee.
RolesSeveral roles. On “Overview” and “Analytics” — the auditor’s role; in “Ratings → Team” — the auditee’s role.
FeedbackAwaiting feedback — the check has an unfinished feedback request; Feedback — the request is finished.
Show all employeesIn the ratings, also shows people with no checks and no actions in the period (and inactive stores).

The panel has no process filter.

On “Overview”, the comparison period is the same dates shifted back one month (for example, October 1–8 is compared with September 1–8).

Columns: Checklist (the store under it), Auditor, Auditee, Result (green when at or above the goal, red otherwise), Goal, Date (the start date and the start and finish times; if the check was finished on another day, a Finished line with the date) and Actions. Columns hides the ones you do not need (at least one always stays). Sort: Newest first, Oldest first, Highest result, Lowest result, Name A → Z, Name Z → A. Search covers the checklist, store, auditor and auditee.

Only the first 100 rows are shown

After search and sorting, the table shows at most 100 rows. To find a particular check, narrow the period or the filters.

Other users see “Edit” and “Delete” but cannot use them. On a narrow screen all actions are gathered in one Actions menu. An empty table: No audits yet or, with filters, No audits match the current filters.

An admin can correct wrong marks in a check that is already finished, without reopening it.

  1. In the check’s row press Edit (the pencil). The check opens with an Editing badge and the hint Tap an item to change its status. The checklist's dates and times stay the same.
  2. Tap an item’s mark: it cycles N/A → Yes → No. The result is recalculated at once; the top shows how many items changed and the result “before → after”.
  3. Close the window. You are asked Apply the changes? with the buttons Keep editing, Don't apply and Apply.

You can change the marks an auditor sets: items and sub-items. You cannot tap a slider, an item with sub-items (its mark follows from the sub-items) or a list item with nothing selected.

Part

Editor

How audit checklists are prepared: processes and checklists, groups and items, the shared items library, visibility rules, notifications and routines, and importing an existing checklist from a photo, a file or Excel. This part is for whoever sets up checklists — usually your company administrator.

16

The editor's main screen is a list of processes with their checklists. This is where you create checklists, move them between processes, lock them, export them to Excel and delete them.

Every audit in ProAudits runs on a checklist — a checklist template. Checklists are filed under processes: a process is a folder with a name and a colour, such as “Shift opening” or “Sanitation”. Your team sees the same processes in the Checklists catalog (chapter 06); the editor is where they are created and filled in.

A checklist is made of items groups (for example “Dining room”, “Kitchen”, “Storage”), and groups are made of items that the auditor marks during the audit. An item can have sub-items with their own weights, or a set of options to choose from. Checklist settings (type, roles, goal, notifications, routines) are covered in chapter 19; item settings in chapter 17.

FOLDER Process name and colour; list order is set on the web TEMPLATE Checklist type, icon, roles, units, goal, notifications, routines chapter 19 SECTION Items group name; result shown as “%” or “Avg.” QUESTION Item weight, critical, photo, comments, responsibles chapter 17 Sub-items own weights or list options Items library the same item in several checklists — shared statistics and edits (chapter 18)
Anatomy of a checklist. A process holds checklists, a checklist holds groups, a group holds items. A library item can sit in several checklists at once.

  • Web. The Editor item sits at the bottom of the sidebar; the address is /editor. It opens for the Admin and Editor levels, together with the checklist editor and the Items library page. Everyone else sees the menu item greyed out, and opening the address directly sends them back to the home page.
  • Mobile app. The last tab of the bottom bar (the “…” icon) → the Administration section → the Checklist editor button. It is enabled for the Admin and Editor levels; everyone else sees it greyed out.

Which checklists appear in the list

Admins (and the Read only level) see every checklist of the company. A user at the Editor level sees only checklists whose settings include their role (and their unit, if units are set — see chapter 19). A new checklist is created without roles, so add roles to it straight away.

The screen is a tree table: process rows expand to show their checklists underneath. Grey placeholders show while data loads; processes start collapsed.

  • 2Items library opens the shared items catalog (chapter 18). The sidebar has no link to the library — this button is the only way in.
  • 3Expand all / Collapse all appears once at least one process has checklists. While a change is being saved, a Saving… spinner shows next to it.
  • 4Add process is unavailable while the previous change is still saving.
  • 5Process row: colour dot, name, a Process tag, number of checklists, a Checklist button with a “+” (just “+” on a phone) and a “⋮” menu. Clicking the row expands the process if it has checklists.
  • 6Locked by column: a yellow tag means you locked the checklist, a red one means someone else did; Deleted user means the lock belongs to an employee who no longer exists; “—” means the checklist is free.
  • 7Checklist “⋮” menu — the only way to open a checklist for editing: clicking the checklist row itself does nothing.

Create. Click Add process. In the dialog, enter a Name (required) and pick a Color, then click Save. The new process goes to the end of the list.

Colour is picked on a colour area with a blue slider, but the result is rounded to the nearest of nine colours: red, sky, orange, yellow, green, lime, cyan, purple, pink. If you leave it untouched, the process is sky blue. The colour tints the process icon in the catalog and the dot in the editor. Checklists have no colour of their own, and a process has no separate icon.

Edit. Process “⋮” menu → Edit opens the same dialog, titled with the process name.

Reorder. Drag a process row above or below another process. Order can only be changed on the web.

Delete. “⋮” → Delete → confirm in Deleting the process.

Empty a process before deleting it

Only the process itself is deleted. Its checklists disappear from the editor and the catalog, but they are not deleted and still count toward your plan's checklist limit. There is no way to get them back from the app. So first drag the checklists you need into another process and delete the ones you don't.

There are two ways to create a checklist:

  • the Checklist button with a “+” on the process row;
  • the process “⋮” menu → Add checklist — an empty checklist appears right away.

If AI checklist import is enabled for your company, “+ Checklist” opens a New checklist chooser with two options:

  • From a photo, file or text — “Snap your old checklist and it builds itself”; starts an import (chapter 20);
  • Empty checklist — “You add the items yourself”.

If AI import is not enabled on the server, “+ Checklist” adds an empty checklist straight away, and the “⋮” menu offers Import checklist from Excel instead of From a photo, file or text.

A new empty checklist is called New checklist (in English whatever your interface language), has the type One-page checklist, a goal of 80 %, a duration of 120 minutes, and no roles, units, routines or notifications. The process expands so you can see it. Then open it via “⋮” → Edit checklist.

The checklist “⋮” menu has four items:

Edit checklist

navigation

Opens the checklist editor (chapter 17) on its own page, without the sidebar.

Export checklist to Excel

.xlsx fileweb only

Downloads a file named after the checklist. Each group is a separate sheet and each item a row: text, description, weight, type (0 — Yes/No, 1 — list, 2 — slider), “photo required”, “critical”, “not necessary”, then sub-items one per cell. This is the same layout the Excel import reads, so an export is a handy way to copy a checklist: edit the file and import it back (chapter 20).

Sub-item weights, comment rules, responsibles, roles, the group result type and reference photos are not exported. There is no separate “copy checklist” function.

Lock / Unlock

flag

Sets or clears the checklist lock (see below). Saved immediately.

Delete

irreversible

After you confirm Deleting the checklist, the checklist disappears from the process and its reference photos are deleted. A deleted checklist cannot be restored from the app.

Moving a checklist to another process is done by dragging, on the web only: drop the checklist row onto another process row or between that process's checklists. Dragging within a process reorders its checklists. There is no “Move” menu item.

Changes on this screen are saved immediately; while saving, Saving… shows next to Expand all.

A lock is a manual “I'm editing this checklist” flag. It is never set automatically: you can open a checklist in the editor without it. Use it so colleagues don't change the checklist at the same time as you.

  • While a checklist is locked by someone else, Edit checklist, Lock / Unlock and Delete are unavailable to you. Excel export still works.
  • Nobody can clear another person's lock, not even an admin. Ask your colleague to click Unlock.
  • If the column shows Deleted user, the lock cannot be cleared from the app.

Tip

Lock the checklist before a big edit, and unlock it once you have finished and saved.

The Checklist editor screen shows the same processes and checklists as a list. Pull the list down to refresh it.

All edits first collect in a draft on your device and are written only when you click Save. On the web, saving first uploads any new reference photos and then saves the whole checklist. In the app, saving works offline too: the changes are sent once the device is back online.

If you leave the page without clicking Save, the draft is lost without warning. The app asks when you leave with unsaved edits: Unsaved changes — Cancel, Discard or Save.

On a wide screen the checklist settings panel is on the left (chapter 19) and the tree of groups and items on the right. You can drag the border between them. On a narrow screen the settings come first and the groups below.

  • Drag and drop. Groups can be reordered. An item can be moved within its group or into another group — drop it next to an item of that group or onto the group row. A moved item keeps all its settings and its history: statistics, action plan, library link.
  • Sub-items are not shown in the tree — they live only in the item card. Sub-items cannot be reordered.

Almost no restrictions

The editor does not validate the checklist before saving: you can save a group with no items and a checklist with no groups, and names have no length limit. The checklist duration is limited to 0–720 minutes.

The card opens when you click an item row or choose Edit. On a computer it slides in from the right; on a phone it fills the screen. The header shows the item text and the group name; a library item also shows Library item · Changes apply to every checklist that uses this item. Edits go into the draft: the Close button at the bottom only closes the card — the page's Save writes them.

Item card (web). Sections run top to bottom in the same order as on screen. The responsible roles are your company's roles; these are examples.

Item text and Weight

text · numberweight 0.1–100 · step 0.1

The text is the wording the auditor sees. The weight is how many points the item gives for a “Yes”. If at least one sub-item has a weight, the weight field is disabled: the item's weight is the sum of its sub-item weights.

AffectsAudit resultDashboard

Slider and Step

switch · numberstep from 0.1

Instead of Yes/No, the auditor sets a score with a slider from 0 to the item weight in the given steps; the screen shows “score / weight”, or “N/A” at zero. There are no separate minimum and maximum fields: the maximum is the weight.

AffectsAudit

Select from list

switch

Sub-items become answer options and the auditor picks one. The Sub-items section is then called List.

AffectsAudit

Critical

switch

If an audit has more “No” answers on critical items than the Max. critical items setting allows (0 by default), the whole audit scores 0 %. With the default value, a single failed critical item is enough.

AffectsAudit result

Optional, Photo required, Photo gallery allowed

switches

Not necessary — the item may stay unmarked when the audit is finished.

Photo required — the audit cannot be finished until a photo is attached to the item and the item is marked.

Gallery allowed — besides the camera, a button for picking photos from the gallery appears.

AffectsFinishing the audit

The Comments section

switches · numberlength 0–100

Comment required — a “No” answer without a comment blocks finishing the audit. Comment required even if “Yes” — a comment is needed whatever the answer. The two switches are linked: turning the second on turns the first on, and turning the first off turns the second off.

Min. comment length appears when a comment is required. The comment must be longer than this number of characters: with 10, at least 11 characters are needed.

AffectsFinishing the audit

The Description section

text · switch

A hint for the auditor on what exactly to check. Normally it opens from an info icon on the item; with Always visible the description is shown straight away.

The Photo section

reference photosweb only

The Add photo button adds reference photos — what “good” looks like. You can pick several files, or use the camera on a phone. Photos are compressed in the browser and uploaded when the checklist is saved. Thumbnails can be deleted. The app has no such section.

The Sub-items / List section

list

Add creates an empty row: text, weight and a red delete button. Giving a weight to at least one sub-item makes the item's weight the sum of the sub-item weights. With Select from list on, sub-items are the answer options.

The Assignees section automatically assigns the people who will fix a deviation.

  • Responsible roles — toggle chips. Only roles at the Shift manager and Store manager levels are listed. If a role was selected and later deleted or moved to another level, it stays visible so you can remove it.
  • Days to respond — 0–365.

When the audit is finished, for every item marked “No” that has roles selected, the store's employees with those roles become responsibles, and locked actions appear in the action plan: the responsible cannot be changed and the action cannot be deleted. The deadline is the finish date plus “Days to respond” (7 days if the field is empty), end of day. The deadline is locked only when the field is filled; 0 means “the same day”.

Certification

If the checklist type is Certification, the section is greyed out with the note Assignees aren't set in certification checklists. The selected roles are kept and work again if you switch back to another type.

In the app the checklist is one scrolling page: a card with the main settings, collapsible More Settings and Routines blocks, then the groups. If another user has locked the checklist, or your level is not Admin / Editor, everything is read-only and a red lock shows in the header.

A checklist has no “draft” or “published” state: saved changes apply right away to new audits. Each audit takes a copy of the checklist when it is created, so audits already started or finished do not change. The word Draft in the catalog means your own unfinished audit, not a state of the checklist.

Your company's shared catalog of items. One item can be placed in several checklists while its settings, statistics and deviations stay as one.

An item such as “Hands washed before the shift” may appear in the morning checklist and in the sanitation audit. If both checklists take it from the library, it is one and the same item, not two similar copies:

  • its deviations from different checklists are collected into a single action plan card per store and month;
  • its statistics (how many audits it was in and how many times it failed) are counted across all checklists together;
  • an edit to the item applies to every checklist that contains it.

A library item stores all item settings: text, weight, slider and step, select-from-list, sub-items with weights, critical flag, photo, gallery, comment rules, description and responsible roles. It does not store reference photos, the group or the position in a checklist — each checklist sets those itself.

The page exists on the web only and is available to the Admin and Editor levels: Editor screen → the Items library button at the top right (/editor/library). Use the arrow at the top left to go back.

AuditsNumber of finished audits that included the item.
DeviationsHow many times the item was answered “No” in those audits; red when above zero.

The library item card has the same fields as the item card in a checklist (chapter 17), except reference photos. Its header shows the item text (or New item) with Items library underneath. At the bottom are Cancel and Save; saving is unavailable while the text is empty. If the item is already used in at least one checklist, Changes apply to every checklist that uses this item is shown above the buttons.

An empty library shows No items yet — Create reusable items once and add them to any checklist in the editor. If the library fails to load, you see Failed to load the items library and a Refresh button. If an action is not saved, a banner says The library change was not saved. Check your connection and try again.

A library item can be changed in three ways, and all three update it everywhere:

  • on the Items library page — with Save in the card;
  • in a checklist — with the Update in library menu item (written to the library immediately, without waiting for the checklist to be saved);
  • in a checklist — simply by editing the item and clicking the checklist's Save: the edited copy becomes the new version of the item for the library and for every other checklist.
WHERE THE EDIT HAPPENS Library page “Save” in the item card “Update in library” item menu in a checklist Item edited in a checklist + the checklist's “Save” Library item one version per company; the last save wins EVERY CHECKLIST WITH THIS ITEM Morning checklist Sanitation audit Evening checklist
Synchronisation. Wherever an edit comes from, it becomes the library version of the item and is written into every checklist that contains it.

Library edits ignore locks

A change to a library item is written into every checklist of the company that contains it, even checklists locked by another user, and replaces their sub-items. Colleagues' unsaved drafts are not taken into account; the last save wins. Warn your colleagues before editing a shared item.

  1. In the checklist editor, open the group “⋮” menu → Add from library.
  2. Find the item in the panel (Search). Each item shows its text, a Critical tag, how many checklists use it and how many deviations it has had.
  3. Pick the item — it is added to the end of the group with all its library settings.

Items already in this checklist are greyed out with Already in this checklist: an item can appear in a checklist only once. If the library is empty, the panel says The library is empty. Create reusable items on the Items library page. If the search finds nothing — Nothing found.

Item “⋮” menu in the checklist editor → Save to library. The item as it is now (including unsaved draft edits) goes into the library, and a Library item bookmark appears on it in the tree. For an item that is already in the library, the same menu item is called Update in library — it updates the item in every checklist.

On the library page, “⋮” → Delete → Deleting the library item: The item will be removed from the library. Checklists that already contain it keep their own copy. The item disappears from the catalog only; it stays in the checklists.

The app has no library page. Users at the Admin and Editor levels can:

  • add an item to a group: group “⋮” menu → Add from library — a picker opens with the same labels as on the web;
  • publish an item: in the item settings window, the Save to library or Update in library button. It is written immediately and applies to the whole company.

Statistics, the “Top…” block and deleting library items are available on the web only.

Who sees the checklist, what result counts as a pass, who is told about a finished audit and how, and on what schedule the checklist has to be filled in.

On the web, the settings are the left panel of the checklist editor (chapter 17). In the app they are the card at the top of the checklist screen plus the collapsible More Settings and Routines blocks. Like everything in the editor, settings are written with Save and apply to audits started after saving.

Visibility is set by two settings — Roles and Unit names. The same rule applies in the Checklists catalog, in the editor lists and to routines.

CHECK 1 Is the user's level Admin or “Read only”? CHECK 2 Is the user's role in the checklist's “Roles”? CHECK 3 Does the checklist have “Unit names” set? CHECK 4 Is the user's unit related? same, above or below Does not see it Sees the checklist Does not see it Sees the checklist Sees the checklist no yes yes no yes no no yes
Checklist visibility. A role is required; units only narrow down who sees the checklist.
  • The Admin and Read only levels see every checklist.
  • Everyone else needs their role in the checklist's Roles list. A checklist without roles is seen by nobody except those two levels. Units without roles grant no access.
  • If the checklist has Unit names set, the user must also work “near” one of them: in that unit, inside it (lower in the structure) or above it. Sibling units at the same level do not see the checklist. A user with no unit sees only checklists without units.

Taking a checklist out of use

A checklist has no “active” switch. To stop it appearing for your team, remove all its roles (admins will still see it) or delete the checklist.

When an audit of this checklist is finished with a store selected and the auditee picked from the list, the auditee gets a task to give feedback, due “finish date + N days”, and a notification. If the auditee's name was typed in by hand, no task is created. More in chapter 10.

AffectsFeedbackNotifications

The Notifications settings block: “Pick how each audience hears about a completed audit: an email with the report, a push notification in the app, or both.” Each audience has two switches: Email — an email with the audit PDF report, Push — an in-app notification (delivered to phones as a push). Everything is off on a new checklist.

“The store's employees” are those whose main or additional unit is that store. Store-related audiences need a store to be selected in the audit. If a person falls into several audiences, they are notified once — on every channel switched on for at least one of them. Notifications themselves are covered in chapter 14.

A routine is a schedule for filling in the checklist regularly — for example, the morning checklist every day at 9:00. Routines create slots in tasks and events in the calendar. On the web, set them up with the calendar button next to the Duration field (it turns green once routines exist); it opens Schedule when this checklist should be completed. In the app, use the Routines block on the checklist screen.

  • 1Tabs #1, #2… are the checklist's routines; Add creates a new one. Delete at the bottom removes the selected routine. With no routines, the window says: “You haven’t added any routines for this checklist yet. Add and edit routines here.”
  • 2Event start — one or more start times in the day. A new routine starts at 10:00; the next time is suggested one checklist duration later, and times cannot be set closer together than the duration.
  • 3Days. Day (Mon–Sun) only works together with Week (#1–#5). First and Last are the first and last day of the month; Date picks specific dates from the 2nd to the 28th.
  • 4Roles — who the routine is for. You can only pick from the checklist's own roles: if the checklist has no roles, there is nothing to pick.

A routine creates a slot on a day if any of these holds:

  • the week of the month is ticked in Week and the weekday is ticked in Day;
  • First is on and it is the 1st;
  • Last is on and it is the last day of the month;
  • today's date is ticked in Date.

Weeks start on Monday; the week containing the 1st is week 1, even if it is partial. Each slot starts at a time from Event start and lasts the checklist's Duration. Slots are shown to employees with the selected roles (and, if the checklist has units set, only to those “near” them).

“Every Monday” means Mon plus all weeks

A routine with Mon ticked but no weeks ticked never fires. For a weekly routine, tick the days you need and all weeks #1–#5. Note: in a month whose 1st falls on a Saturday or Sunday, the 30th and 31st can land in a sixth week, which cannot be selected — the routine skips those days on its weekday rule.

Unfinished slots from earlier days of the current month carry over to the following days until the checklist is filled in. Carry-over starts afresh in a new month.

AffectsTasks

Reminder. If reminders are turned on for your ProAudits server, employees with the role get a push notification about the upcoming checklist about 15 minutes before the slot. No reminder is sent if an audit for that slot has already been started, or for carried-over slots. No email is sent.

Tip: Excel by template is free

If on the web you add a single Excel file and it follows the ProAudits template, a card appears: This file matches the Excel template — it can be imported without AI, free of charge. The Import without AI button creates the checklist at once and spends no credits. The checklist is named after the file.

The Building your checklist… screen shows a stack of pages and a line such as “Reading 3 pages” (or Reading your text; while the job waits — One moment — your checklist is in the queue). If building takes longer than a minute and a half: Taking longer than usual — large files can take a few minutes.

You can close this — the checklist will wait for you in the editor: closing the window does not stop the build. To come back, use Continue import in the process menu. The Cancel button stops the import after you confirm.

The finished draft is shown in full: at the top a line such as “2 groups · 14 items · from 3 pages”, the checklist name, then questions, notes and the groups with their items. On a wide screen the source pages are shown on the left — opening an item turns them to the page the item came from.

  • 7Create checklist is unavailable while the draft has errors: The checklist has errors — fix them before creating it.

Editing by hand

Open an item to change:

  • its text (not empty — Enter a name), description, type (Yes/No, List, Slider), weight (0–100, at least 1 for a slider);
  • the Photo required, Critical and Optional switches;
  • sub-items (up to 30; a list needs at least two: A list needs at least 2 options);
  • Move to group and Delete. A group can be deleted together with its items — confirm in Deleting the group.

In the app you can change the name, type, weight and the three switches, delete an item and rename a group or the checklist; sub-items and descriptions are view-only there, and moving items or deleting groups is not available.

Changes in your own words

Write what to change: “merge the Dining room and Till groups”, “make every temperature item critical”. While the AI works you see Updating the checklist…, then “Done: …” with a short summary; changed items are highlighted.

  • Each import allows at most three changes in words and answers combined. Before the last one: One change left; when none are left: No changes left — edit the items by hand.
  • Undo rolls back the last change on your device but does not give back the change or the credits.
  • If you have already edited by hand, sending asks Rebuild the checklist? — Your manual edits will be lost.
  • If a change fails, the draft stays as it was and your words go back into the field.

Library matches

  • In the library — the text matches an item in the library (ignoring case, punctuation and numbering). Such an item is taken from the library by default — with its settings and shared statistics.
  • Similar to a library item — the wording is close. It is only a suggestion: to use the library item, turn on Use library item.
  • One library item can be used for one draft item only: This library item is already used for another item.

After Create checklist (Creating the checklist…) the Your checklist is ready screen shows the checklist and process names, how many groups, items and items with photos it has, and a credits line — “… used · … left” (on an unlimited plan just “… used”). The import's files and draft are deleted.

  • Start an audit now — begin an audit on the new checklist straight away;
  • Open in the editor — go to the checklist editor;
  • Another checklist — start a new import.

For now only admins see the checklist

The screen says Your team will see the checklist once roles or locations are set in its settings. More precisely, roles are needed — without them only the Admin and Read only levels see the checklist. Unit names only narrow it down (chapter 19).

  • While building, the window closes freely — the build carries on.
  • On the source or review step you are asked: Cancel the import? Uploaded files will be deleted. Finish later keeps the import; Cancel import deletes the files. If files are still uploading: Files that are still uploading will not be kept. The app also has a Back button.
  • Getting back to an import: web — the process “⋮” menu, Unfinished import section (the menu gets a dot): each entry shows the checklist name and step (Source, Recognition, Review). App — long-press the process → Continue import (the most recent import).
  • An unfinished import is kept for a limited time (24 hours by default — the privacy line on the first step shows the period) and then deleted: The import expired — start over.
  • Hand edits on the review step are stored only on the device where you made them; on another device the import continues from the draft without them.

Web only. If AI import is unavailable (not enabled, or not allowed for your level), the process “⋮” menu offers Import checklist from Excel. The window has a Select file area — Select the file to import. It must be an .xlsx file that follows the template structure. — a Choose files button, a card with a Download example file button and, at the bottom, Create checklist, which is enabled only when the file follows the template. If it doesn't, the file's card shows The file doesn't follow the template and a list of what to fix: the sheet, the cell, what is in it and what is expected (say, a weight that isn't a number from 0 to 100, or a column header that differs from the example). Fix the file, remove it with the cross and pick it again. When AI is available, the same free path is offered by the Import without AI card on the first step.

The example's headers are in your interface language, but the file imports in any language — only the column order matters. An existing checklist can be exported in the same format: checklist “⋮” → Export checklist to Excel (chapter 16).

An AI import spends credits from the company's balance (chapter 24); a photo import usually costs 100–200 credits. Credits are spent by the build, by every change in words or answers and by every retry after an error. Before each step the system reserves an estimate and afterwards charges the actual amount. Text and Office files cost less than photos; a large scanned PDF costs more. Excel by template is free.

  • If credits are short, the warning “Not enough credits: ≈ … needed, … available — top up the balance.” appears above Build the checklist, and the button is disabled. If the balance has never been topped up: No AI credits have been added yet — buy credits to start. If AI import is not in your plan: AI import is not included in your company's plan; if no plan is set up: No plan is configured — AI import is unavailable.
  • If credits run out during a change: AI credits ran out.
  • Account holders top up the balance (chapter 24); other administrators and editors can ask an account holder. On the website administrators see the balance and history on the Usage page, editors in the AI credits card on the Account page (chapter 05). In the app, on the More screen.

Who works in the company, how its structure is organised, what each role can do and what the plan limits. An administrator sets these up; restaurant and area managers look after the employees in their own part of the structure.

The list of people in your company: who is in the system, which role they have, which part of the structure they belong to and whether they have signed in to ProAudits yet. This is also where you add employees and send invitations.

Each row in the list is an employee card. The card holds the name, sign-in contacts (login, email, phone), the role and the place in the structure. The role decides which sections the person can open (chapter 23); the place in the structure decides which employees, stores and results they see (chapter 22).

Employees get into the system in two ways: an administrator adds them by hand, or, if enabled for your company, your HR system sends them. There is no import from a file.

  • Everyone else — an administrator with a structure, an area manager, a restaurant manager — sees the employees of their own nodes and of every node nested in them, plus employees who have no structure at all.

An employee attached only to nodes outside your part of the tree does not appear in your list. If an administrator with a restricted structure attaches someone to a node outside their own area, that person drops out of their list after saving. This is expected.

The Employees tab on the web. Sample data; the layout and labels match the real screen.
  • 1Title, count and search. The number is how many employees you can see; search and filters don't change it. Search looks at the name, the role name and the node name; it does not look at email or phone.
  • 2Sort — eight options: name, role, structure or status, ascending ("A → Z") or descending ("Z → A"). The default is "Name A → Z". You can also sort by clicking a column header.
  • 3Columns — show or hide Name, Role, Structure and Status. At least one stays visible.
  • 4Filters — opens the filter panel on the right. The number on the button is how many filters are on.
  • 5Invite everyone who hasn't signed in — sends invitations in bulk; the amber number is how many employees are waiting for one (see Invitations).
  • 6Add team member — opens an empty card. The button is grey if you are not an administrator, if an HR system manages your employees, or if the plan limit is reached. There is no hint explaining why — check the table below.
  • 7Employee row. A circle with initials (photos can't be uploaded), the name, the role — a chip coloured by the role's level, or grey No role — the node as a path upwards from the employee's node, separated by "<", and the sign-in status with a date under it.
  • 8The «⋮» menu — Edit opens the card, Delete deletes the employee (see Deleting). Clicking the row itself does nothing.

More than 200 employees

The list shows the first 200 rows, followed by "Showing first 200 of …". Search, filters and sorting still work on everyone, so narrow the search to find the person you need.

The Status column shows whether an employee has reached their first sign-in. The status is worked out automatically from the contacts and the invitation and sign-in dates; you can't set it by hand.

The Filters button opens a panel on the right. Filters apply immediately as you choose them; the Apply button just closes the panel.

  • Roles — pick one or more roles. Selecting every role is the same as no filter.
  • Only manually added — hides employees who came from the HR system.
  • Only employees who haven't signed in — keeps the No contact details, Not invited and Invited statuses. Handy for checking who hasn't started using the system yet.

Reset filters turns all three off. If nobody matches, you'll see No employees match the current filters with a hint to remove some filters or clear the search. In an empty company you'll see No employees found instead.

Only an administrator can add employees. On the web:

  1. Click Add team member. A window titled Add team member opens.
  2. Fill in Name — the only required field.
  3. Enter an email or phone if the employee will sign in to ProAudits: the invitation goes there. You can also set a login.
  4. Choose a Role and a node in the Structure block.
  5. Click Save. The window closes and the employee appears in the list.

If the employee has a working contact, an invitation goes out automatically and you'll see Invitation sent by email or Invitation sent by SMS. If no message appears, no invitation was sent — check the status in the list.

Additional structure when adding

On the web, nodes chosen in "Additional structure" in the add window are not saved. Save the employee first, then open their card via «⋮» → "Edit" and add them there. The mobile app doesn't show this field when adding.

An invitation tells the employee they have been added and which contact to sign in with. The channel is picked automatically: email if there is a valid address, otherwise SMS to the phone (if SMS sending is set up on your server). Only an administrator can send invitations manually.

Automatically

  • when a new employee with an email or phone is saved;
  • when the email or phone changes for an employee who has never signed in.

The automatic invitation goes out when anyone with access to the card saves it — a manager included; only an administrator can send an invitation by hand.

Manually, to one employee

On the card, click Send invitation (if none has been sent yet) or Resend invitation. Each click sends a new invitation. If the employee has no contacts, the web shows the warning Add an email or phone number first., and in the app the button is disabled.

Everyone at once

  1. Click Invite everyone who hasn't signed in above the list.
  2. Confirm in the window — "Send an invitation to N employees who haven't signed in yet? Employees invited in the last 24 hours are skipped." — with Send invitation.
  3. The result appears as a message: "Invitations sent: N, skipped: M".

Skipped are those who have already signed in, those without contacts, those invited in the last 24 hours and those the invitation could not be delivered to. On the web the button is available only to an administrator with no structure restriction, and it is disabled when there is nobody to invite. On error you'll see Couldn't send the invitation. Please try again.

What the employee receives

An email, You've been invited to ProAudits: who added them and which contact to sign in with — they open the app or the website and request a one-time code. If a link to the web version is set up for your company, the email has a Sign in button. It opens the Sign in to ProAudits page with Open in the app and Sign in in the browser buttons, with the sign-in contact already filled in. By SMS they get a short text, "You've been added to ProAudits…", with a link. How the sign-in itself works is in chapter 02.

Only an employee added by hand can be deleted, and only by an administrator. While an HR system manages your employees, deleting is unavailable. On the web use «⋮» → Delete; in the app, the Delete button at the bottom of the card. Confirm: Are you sure? This action cannot be undone.

  • The employee disappears from every list and can no longer sign in.
  • Audits they carried out and their history are kept.
  • Their email and phone become free and can be used on a new card.
  • A deleted employee can't be restored from the interface; ProAudits has no "deactivate" option.

Employees from the HR system and the company owner (the person who registered it) can't be deleted this way — Delete is unavailable for them.

The Team members screen opens from the Administration section on the last tab. A card opens with the gear icon at the right of the row — tapping the row itself does nothing.

If sending employees from your HR system is enabled for your company, the HR system maintains the list and some things change:

  • employees can't be added or deleted by hand: on the web the buttons are grey, in the app they are missing;
  • for employees from the HR system, name, login, email and phone are read-only — unless your company allows editing them;
  • the role is assigned from the employee's job title on every update from the HR system — the mapping is set up on the Roles screen (Job titles);
  • the lock next to the Structure field (web, employee card) protects the main node from being overwritten: Locked — this structure won't be overwritten by the employee integration sync. While the lock is on, the field is highlighted and can't be edited — unlock it first.

The company's tree of nodes: regions, divisions, restaurants and shops. It decides which stores are audited, who sees which data and who gets notifications.

The section is open to the Admin level only. On the web: sidebar, the Admin group → Structure → Structure (/structureEditor?tab=Structure); in the app: Administration → Structure. Everyone else sees the item greyed out. An administrator attached to part of the structure still sees and edits the whole tree here.

One word, several meanings

"Structure" in the interface is the menu item, the tree itself and a field on the employee card. In this chapter a "node" is any item in the tree, and Unit and Store are its two types.

TypeIcon and colourWhat it is forRules
UnitFolder, amber chipGroups other nodes: a region, a city, a divisionCan contain nodes of both types
StoreHouse, teal chipA place that gets audited: a restaurant, a shop, an outletCan't contain other nodes; only stores are offered when choosing where an audit takes place

Employees are not nodes in the tree: they are attached to nodes through their own card. ProAudits has no "who reports to whom" chain — only people attached to places.

Nodes and people. The tree contains only nodes. An employee names one main node and any number of additional ones.
  • Who managers see. The visibility area is a person's nodes and everything nested in them (details).
  • Where audits take place. In an audit you can pick only a Store from your area; if exactly one store is available, the website fills it in automatically, while in the app you pick it yourself (chapter 07).
  • Who can be picked as the audited employee. The Employee field in an audit offers the people attached to that very store — as their main or an additional node. Being attached to a unit above the store doesn't count here.
  • Who sees a checklist. A checklist tied to nodes is shown only to people attached to one of them, to a node nested in it, or to a node above it (chapter 19).
  • Report and calendar filters — the lists of nodes and stores there are also limited to the area (chapter 15, chapter 13).
  • Notifications about a store's audit go to people attached to that store or to the node it belongs to directly (chapter 14).

Nodes from an external system

If your nodes come from your company's external system, its next update may bring back the old name. A manual move (see below) is kept through updates.

Web: drag a node's row onto the row of the Unit you want to put it in. A node can't be moved into a store, into itself or into one of its own nested nodes.

App: long-press the row → Move, pick the new place in Select structure and tap Save. Only nodes of the Unit type are offered.

If your nodes come from your company's external system, a manual move is kept when that system updates them.

«⋮» → Delete, then confirm Are you sure?. Only nodes created in ProAudits can be deleted; nodes from an external system can't — the item is grey.

Nested nodes are deleted too

Deleting a node also deletes every node nested in it. The confirmation window doesn't warn about this, and deletion can't be undone.

Completed audits are kept, but deleted stores disappear from the tree and from pick lists. Employees attached to deleted nodes are left without a place: their Structure column shows "—", and managers with a restricted area stop seeing them. Re-attach people on their cards before deleting.

Deleted nodes are also removed from the checklists' Unit names (chapter 19). A checklist left with no units is linked to the node one level up. If a top-level node was deleted, the checklist is left with no units, and everyone with its roles sees it.

The tree is shown as an indented list. Tapping a row opens the node; tapping the arrow expands its nested nodes. The action menu opens with a long press on the row — there is no separate button for it.

Only through the employee card: the Structure field is the main node, Additional units holds the rest (see card fields). An administrator does this. Practical tips:

  • attach restaurant staff directly to the restaurant itself (type Store) — that way they appear in that store's list of audited employees and in its notifications;
  • attach an area manager to the Unit above their restaurants — they will see everything nested in it;
  • for an administrator who must see the whole company, leave both fields empty.

A role is a job name used in your company plus one of seven access levels. The level decides which sections an employee can open.

ProAudits has no separate permission checkboxes: a role has only a Name and a Level. You can have as many roles as you like — for example "Restaurant manager" and "General manager", both at the Store manager level. The section is open to administrators only: on the web, Admin → Structure → Roles; in the app, Administration → Roles and job titles.

The levels are fixed: they can't be added, renamed or configured. In lists, roles are ordered by level — from employee to administrator.

A company's first four roles are protected: you can rename them, but you can't delete them or change their level. In a company registered through the app they are:

Rename them to match the job names you use. A new company has no roles at the Area manager, Read only or Editor levels: create them with Add role. Companies connected through an HR system may have a different set of base roles.

If employees come from an HR system, they carry their job title from it — for example, "Head chef". You don't enter job titles by hand: they appear on their own. Mapping "job title → role" lets roles be assigned automatically. Employees added by hand have no job title.

ProAudits doesn't move the deleted role's holders to another role. In the list they show "No role", and the web version stops opening for them (after a few minutes, once their sign-in data refreshes) until you give them a new role. Job titles mapped to the deleted role disappear from every board.

An account holder is an administrator the company trusts with payments. The first holder is whoever registered the company; holders add the others (below). A holder's profile shows the Account holder chip. If the company has no holder left, its administrators can pay.

The plan is chosen when the company registers in the app, on the Plan step (chapter 03). If payments are not set up on your company's server, the Usage page shows only the limits and the AI credits, with no buy buttons.

The Usage page of an account holder. The plan, figures and dates are an example; yours will differ.
  • 1Change plan and Buy credits work only for account holders. Other administrators see them grey with who pays underneath ("The account holders pay: …") and an Ask the account holder button next to them (below).
  • 2Plan: the name and the subscription status (Active, Trial, Payment due, Ending), until when it runs and whether it renews, how it is paid and who started it, and the bonus the plan adds to credit packs. The Plan and billing link is shown to account holders.
  • 3Notice: always one, the most important: a payment failed, data is over a limit, a limit is reached, credits ran out, the subscription will not renew or will change, a trial is running, a limit is almost used up, credits are below the threshold. Calm notices can be closed with Hide until it changes; they come back when the situation changes.
  • 4Plan limits: how much of each limit is used, with a bar and a hint; Open goes to where it is managed. Below, Included in the plan lists the AI features and integrations the plan has.
  • 5AI credits: the balance with a forecast, and this month's spend by day and by feature (below).
  • 6Credit history: spending, top-ups and purchases, with the All operations / Top-ups and refunds / per-feature filter and a month picker covering the last year, 20 rows per page. On a phone the table becomes a list.
Hint under a limitWhat it means
"… more can be added"All is well
"Almost used up · … left" (yellow)80% or more is used
Limit reached — nothing more can be added (red)Nothing new can be added until you free up room or change the plan
"… over the limit · data is kept, nothing new can be added"Happens after moving to a smaller plan: everything is kept, but nothing new can be created
UnlimitedThe plan does not limit this number
"… · resets on November 1" (audits)The audit limit is monthly: the count starts over on that day. When the limit is used up, the notice at the top gives the same date
"this month · … in total" (audits without a limit)The large number is this month's audits; the hint says how many were started in all

If the data did not load: Could not load the usage and a Try again button. If the company's server cannot count the limits yet, the tiles are replaced by The company's server does not report limit usage yet.

Open More. For administrators and account holders the Administration block sits right under the profile, and its first item is the Usage card: the plan, the limit closest to running out and the credits left. Tap it to open the screen. For everyone else the card is grey and says For admins and account holders.

The Usage screen. The buy buttons are pinned at the bottom.
  • From top to bottom: the plan (status, period, until when — "Trial until …" during a trial, how it is paid), one notice, Plan limits, AI credits with the month's chart, the By feature split and the latest operations. Pull the screen down to refresh.
  • Tap a limit row to go where it is managed: Team members, Structure or Checklist editor (if you have access to that section).
  • The clock icon in the header and the All history row open Credit history: months are switched with arrows, the filter is All / Spend / Top-ups, and Show more is at the bottom.
  • At the bottom: Change plan and Buy credits. For people who can't pay, these buttons are greyed out, with who pays written next to them and an Ask the account holder button.
  • The data comes from the server. Offline, the screen shows No connection; if the connection drops after loading, a "No connection to the server — showing the last data" bar appears at the top.
  • If buying through the app is not available on your server, the screen has no buy buttons and no prices — only the limits and the credits.
  • They are the company's balance, not money and not a monthly allowance: credits do not expire at the end of a month, and the whole company uses them. AI features spend them: checklist import (chapter 20), photo check, dashboards.
  • They are topped up by buying packs (below). A plan may add a bonus to every pack: "+…% credits on packs". On some plans AI features do not spend credits at all; the balance then reads Unlimited.
  • Available is what can be spent now, with roughly how many runs it covers. On the account is the whole balance; Reserved is set aside for AI tasks still running (what they don't use comes back). Enough until about is a forecast at this month's pace.
  • When credits run out, AI features don't start until the balance is topped up. If the balance went below zero, the overdraft is deducted from the next purchase.
  • Threshold and feature limits. When credits drop below the threshold, administrators get an AI credits running low notification. An administrator sets the threshold and each feature's monthly limit: Change the threshold and Set feature limits lead to the AI features block on the Account page.

Account holders buy. Other administrators and editors ask them to (below).

On the website:

  1. Usage → Buy credits. The Buy AI credits panel opens on the right.
  2. Pick a pack. Each one shows how many credits you get including the plan bonus, the price per 1,000 credits and how many days it adds at the current pace; Best value marks the cheapest credit. Below are Balance after payment and To pay.
  3. Press "Pay …": a secure payment page opens.
  4. After paying you come back to ProAudits: Checking the payment…, then Credits added. The button is Back to Usage. The receipt is emailed to the address given at payment.
  5. Changed your mind on the payment page and went back: ProAudits shows The payment did not go through at once — no money was taken, and you can pick a pack again.

The Buy AI credits panel. Packs and prices come from the server and depend on how you pay.

In the app:

  1. More → Usage → Buy credits at the bottom of the screen. The Buy AI credits sheet slides up.
  2. Pick a pack and press "Buy for …". Confirm the purchase in the App Store or Google Play.
  3. The credits land on the balance as soon as the store confirms the payment. If you see The purchase is awaiting approval, you can close the sheet — the credits are added on their own. The store sends the receipt.

On Android, some servers also offer a Pay on the website button: it opens the Usage page of the ProAudits website in the browser, where credits are bought as described above.

In the app the payment is taken from your App Store or Google Play account, and the credits go to the whole company. Credits are not tied to the subscription: you can buy them even when another person pays for it.

If you can't buy, press Ask the account holder: on the website, on the Usage page; in the app, at the bottom of the Usage screen or on the AI credits screen. Choose what you are asking for: Top up AI credits or Change the plan.

  • The account holders get a Payment request notification — in the list, as a push and by email. On the website it opens Usage; in the app, the More screen. If the company has no holders, its administrators get it.
  • You see The account holders have been notified. Pressing again the same day does not send a second notice.
  • If there is nobody to notify, the website shows There is nobody to notify — ask an account holder directly and the app shows "There's nobody to ask: …". Then contact a holder directly.

On the website: Usage → Change plan (or the same button in Plan and billing). The Choose a plan window opens: the billing period tabs at the top, the plan cards below. Each limit on a card shows what you have now ("you have …"); Your plan marks the current one. When the current plan is tight, Fits you marks the plan with room for everything.

The “Choose a plan” window, “Year” tab. Plans, limits and percentages are examples; prices come from the server.
  • 1Month and Year — the tab of your subscription's period opens first; with no subscription, Month. The Year tab shows the most you can save by paying for a year: "up to −…%". Switching tabs keeps the selected plan; the prices and the bar at the bottom update. If plans are sold for one period only, there are no tabs.
  • 2Price — per month on Month, per year on Year; under a yearly price, "≈ … a month" and "Save …%" compared with paying monthly. A plan not sold for this period stays in the list marked Not sold for this period.
  • 3The free plan and By agreement do not depend on the tab: the free plan always comes first (Free, No end date), the plan by agreement last (invoiced to the company, the Discuss terms button).

The bar at the bottom says plainly what will happen:

What you pickWhat happens
Another paid plan or another periodYou pay now (Due today) with "Switch to …" or Go to payment. The new subscription replaces the current one as soon as it is paid; the days left in the current period are not carried over or refunded. It then renews automatically.
The free planSchedule the move: the subscription will not renew, the paid period runs to its end, then the company moves to the free plan. If your data does not fit its limits, the bar lists what — everything is kept, but nothing new can be created. The credit discount goes away; credits already bought stay.
The current plan with renewal turned offResume subscription: it renews automatically again; nothing is charged now.
A plan By agreementDiscuss terms → Contact us prepares an email to the sales team. The current plan keeps working until you agree.

In the app: Usage → Change plan opens the Plan screen with App Store or Google Play prices, on two tabs: Month and Year; on the Year tab, the price per year, "≈ … a month" and the saving. The free plan comes first, the corporate plan (By agreement) last, with a Discuss terms button that prepares an email to the sales team. A plan the store does not sell for the chosen period is not shown on that tab.

The subscription is billed to your personal store account and renews automatically. What the store will do is written at the bottom before you buy:

  • A bigger plan starts at once. The App Store refunds the unused part of the old plan; Google Play credits the unused days to the new one.
  • A smaller plan starts at the next renewal; the paid period runs to its end.
  • The free plan: turn off renewal in the store ("Turn off renewal in …"); when the period ends, the company moves to the free plan.
  • The same screen has Restore purchases and Manage subscription.

Another person pays for the subscription

An App Store or Google Play subscription can be changed or canceled only by the person whose store account pays for it, in the store's subscriptions on their own phone. Everyone else sees it read-only: Change plan is grey, with "… manages the subscription" next to it. Credits can still be bought. If that person leaves the company, the subscription keeps charging their store account: ask them to turn off renewal. A subscription paid on the website is changed on the website; a plan by agreement, through your ProAudits manager.

Only account holders see this section — its title carries For account holders. On the website: avatar → Account, the Plan and billing section (address /account#billing). In the app: More → the gear, below the profile.

Plan and billing when another holder pays through the App Store. The subscription is read-only.
  • 1Subscription: the plan, status, period and store; Next charge, Payment method, Started (when and by whom), Receipts. A subscription paid on the website has Cancel subscription at the bottom: the Cancel the subscription? window shows what will not fit the free plan; choose Keep or confirm the cancellation. A canceled subscription can be brought back with Resume subscription until the period ends.
  • 2Read-only: another person pays for the subscription through an app store (see above). The person who started it sees a "Manage in …" link instead.
  • 3Limits and AI credits leads to the Usage page.
  • 4Account holders: see below.
  • 5Payments and purchases: website subscription payments and credit purchases with their status; "Show all (…)" when there are many. ProAudits keeps no receipt files: receipts arrive by email.

In the app the section works the same way: the plan with the Renews (or Active until, or Trial until during a trial), Paid via and Started rows, the Change plan and "Manage in …" buttons (for the person whose store account pays), the Limits and AI credits row, the holders and Purchase history. An App Store subscription is changed from an iPhone, a Google Play one from an Android phone, a website one on the website; the screen tells you where.

  • Add. Only an administrator can become a holder. On the website pick them in Choose an admin and press Add account holder; in the app press Add account holder and tap a name. The new holder can pay right away and sees Plan and billing.
  • Remove. Remove → confirm. The person stays an administrator; they stop paying, seeing payments and getting emails about them.
  • Who can't be removed: the last holder (The company needs at least one account holder) and the person whose store account pays for the subscription — cancel it first. Their Remove button is grey, with the reason next to it.
  • Only holders can add and remove holders.

On the Usage page the limit's tile turns red (Limit reached — nothing more can be added) and a notice appears at the top. In the sections themselves it looks like this:

ProAudits terms in plain words. Button and field names in the chapters are quoted exactly as the app shows them.

Access level
One of seven fixed role levels: Admin, Editor, Area manager, Store manager, Shift manager, Employee and Read only. The level decides which sections are open.
Account holder
An administrator the company trusts with payments: buys AI credits, changes and cancels the plan, sees the payments. The first holder is whoever registered the company.
Action
A row in an action-plan card: what to do, who is responsible, KPI, deadline and photo proof.
Action plan card
One deviation on the action-plan board for a branch and month: a checklist item marked "No", or a custom task. It holds a list of actions.
Additional subdivisions
A field on the employee card for other subdivisions where the person also works, in addition to the main Structure field.
AI credits
The company's shared balance for AI features: checklist import, photo check, dashboards. Credits are not money and don't expire at the end of a month. They are topped up by buying packs; the balance is shown on the Usage page.
AI import
Creating a checklist from a photo, scan, PDF, Word, Excel or text with AI: source, building, review with corrections, ready checklist. It uses AI credits and is available if enabled for your company.
Approval
Moving an action-plan card to the Approved column. Only the Area manager and Admin levels can do it.
Auditee
The employee being audited. Chosen from the branch team or typed in by hand; this decides whether they get a notification and a feedback request.
Base roles
A company's first four roles. They can be renamed but not deleted, and their level can't be changed.
Checklist
An audit template: groups of items plus settings — type, roles and subdivisions, goal, notifications, routines. Audits are run on a checklist, and each audit copies the checklist at the moment it is created.
Checklist lock
A manual "I'm editing this checklist" mark. While another user holds the lock, the checklist can't be opened for editing, deleted or unlocked.
Checklist subdivisions
An optional link of a checklist to structure nodes (web only). It narrows who sees the checklist to employees of those subdivisions, the ones nested in them and the ones above them. It grants nothing without roles.
Checklist type
Detailed audit, single-page checklist or certification. The type decides how the audit looks, which catalog tab it is under and whether responsible people are assigned.
Branch
A subdivision that is a place being audited (a restaurant, a shop). It cannot contain other subdivisions, and only branches can be chosen as the audit location.
Calendar event
An audit planned by hand: date, start time, branch and checklist for the chosen employee. It appears in their tasks on that day.
Company code
A short code of Latin letters, digits and hyphens that the app uses to find your company's server.
Company server
A ProAudits server run for a single company. In the app you connect it on the sign-in screen with the company code or server address from your administrator.
Company workspace
One company's own ProAudits environment: its employees, structure, checklists, audits and plan. The person who creates it becomes the administrator.
Comparison period
The period the reporting figures are compared with: on Overview, the same dates a month earlier; on Analytics, set by the range switch.
Correcting marks
An administrator editing the item marks of an already finished audit without reopening it; dates, photos and comments stay as they were, and notifications are not sent again.
Critical item
An item that can zero the audit: if there are more "No" answers on critical items than the checklist allows (0 by default), the audit result is 0%.
Custom card
An action-plan card added by hand for an issue that is not in any audit; it belongs to a process.
Draft
Your latest unfinished audit on a checklist. There is one per user and checklist, not per branch.
Excel template
An .xlsx file in the ProAudits format: one sheet per group, one row per item. It is imported without AI and free of charge, on the web only; checklists are exported to Excel in the same format.
Feedback request
A request for the audited employee to respond to the audit results. It is created when the audit is finished, if the checklist asks for feedback, and is answered in the mobile app.
Goal
The pass threshold of an audit in percent (80 by default). A result at or above the goal is shown in green, below it in yellow.
Hit rate
The share of audits whose result is at or above the checklist's goal.
HR system
If connected for your company, it supplies employees, their job titles and subdivisions itself; adding and deleting employees by hand is then turned off.
Invitation
An email or SMS with a sign-in link that says which contact to sign in with. It is sent automatically when a contact is added to the employee's card, or by hand; the link doesn't expire.
Item
A single question of a checklist that the auditor marks. An item has a weight and options: critical, slider, choice list, required photo and comments, responsible people.
Items group
A section of a checklist, such as "Dining room" or "Kitchen". The group result is shown as a percentage or as an average score.
Items library
The company's shared catalog of items. A library item can be placed in several checklists: it has shared settings, statistics and an action-plan card, and an edit applies in every checklist.
Job title
An employee's job title from the HR system. It is matched to a role on the Roles screen, and the role is then assigned on the next update.
Locked action
An action created automatically when an audit is finished. It can't be deleted and its responsible person can't be changed.
Manually added employee
An employee created by an administrator in ProAudits rather than supplied by the HR system. Only such employees can be deleted.
One-time code
Four digits sent by email or SMS for signing in. Each code works once, and the screen shows a timer.
Outbox
A list of the checklists you have filled in, with their sending status; drafts can be continued from here too.
Plan
A company's set of limits: employees, stores, checklists, audits, integrations; a plan may also add a bonus to AI credit packs. Chosen at sign-up, changed on the Usage page.
Plan limit
The maximum number of records of one kind in a company. When it is reached, only adding new ones is unavailable; editing existing ones isn't blocked.
Process
A folder of checklists with a name and one of nine colours. It is created in the editor; on the Checklists home page checklists are grouped by process, and a checklist outside a process is not listed.
Push notification
A notification on a phone with the ProAudits app installed; it needs you to be signed in to the app and notifications allowed in the phone settings.
Ready to finish
A dialog (a panel in the app) listing the conditions to meet. An audit can be finished only when all of them are met.
Reference photo
A photo on the item card that shows what "good" looks like. It can be added on the web only.
Region
A setting on the mobile app's sign-in screen that decides which ProAudits server you sign in and sign up on.
Responsible people
Branch employees the auditor assigns to an item marked "No"; if the list is left untouched, the branch employees with the roles chosen in the checklist item are filled in. When the audit is finished, each of them gets an action on the item's action-plan card.
Result
The sum of the weights of "Yes" items (with partial points from sub-items and sliders), divided by the sum of the weights of the items that count.
Role
A job name in your company (for example, "Store Manager") plus one of seven access levels. Assigned on the employee card, set up on the Roles screen.
Routine
A schedule for filling in a checklist regularly, set in the checklist's settings: roles, weekdays or dates, start time. It produces tasks, calendar slots and reminders.
Sign-in status
A column of the employee list and a mark on the card: No contact details, Not invited, Invited or Active. Worked out automatically from the contacts and the invitation and sign-in dates.
Structure (subdivision type)
A subdivision that groups others: a region, a city, a line of business. It can contain subdivisions of both types.
Sub-item
Part of an item with its own weight (the item's weight is then the sum of its sub-items' weights), or an answer option when the item uses a choice list.
Subdivision
Any node of the company's structure tree: a Structure or a Branch.
Subdivision lock
A button next to the Structure field on the employee card (web). It protects the main subdivision from being overwritten by the HR system.
Sync error
The status of a change that the server rejected or that could not be sent after many attempts. It is cleared with the Retry button.
Task
A row on the Tasks page: a routine slot, a calendar event, or a routine carried over from previous days. It is closed by running the audit; tasks are not created by hand.
Unfinished import
An import closed before the checklist was created. It can be continued from the process menu until the import expires.
Unmatched job titles
Job titles from the HR system that are not yet matched to any role.
Visibility scope
An employee's subdivisions (main and additional) together with everything nested in them. It limits which employees, branches and data they see. An administrator not attached to the structure sees everything. For checklist visibility, the nodes above are added too (see Checklist subdivisions).
Weight
How many points an item contributes to the audit result.
